General Description

Under the direction of an assigned supervisor, the Grant Program Specialist / CTE Grants will perform a variety of specialized complex administrative assistant duties for the coordination, planning and implementation of the grant and to enable the program to meets its goals

The successful candidate will have strong experience maintaining budgets to include, working with financial statements, reconciling accounts and statements.

3 year Grant Funded position.

This position is assigned to the Tulare College Center, Full-Time 7:45 a.m. - 4:45 p.m., 12-months. Initial placement is at $56,451.

Job Duties

Job duties of the Grant Program Specialist/CTE Grants:

  • Organize and manage the day-to-day activities of an assigned office to assure efficient and effective office operations; coordinate communications; relieve the administrator of administrative detail.
  • Process purchase orders and maintain budget; order, issue and maintain department supplies, forms and equipment; receive, open and route mail.
  • Maintain a variety of records, logs and student files including those of a confidential nature; prepare periodic and special reports and statistical data related to program activities and effectiveness; develop flyers, letters and brochures for promotional purposes as necessary.
  • Prepare correspondence and memoranda independently or from oral instructions.
  • Greet office visitors and initiate and answer telephone calls; screen and direct calls and visitors to appropriate personnel; take messages as necessary.
  • Develop and distribute materials utilized in the grant; assist program administrators to conduct workshops to program students.
  • Plan and organize activities and programs to provide information and assistance to students regarding grant services.
  • Train and provide work direction to student assistants to help with projects, including recruitment activities.
  • Keep abreast of educational and student support programs to provide accurate and timely information about the grant.
  • Assist in securing academic counseling programs to aid in the retention, placement or transition of students; provide information and assistance to students in obtaining a variety of services available including counseling and tutoring.
  • Monitor and maintain student centers; troubleshoot computer programs used in center.
  • Plan, schedule and assist in the design and delivery of oral presentations and workshops for high schools, students and community groups.
  • Assist with the planning, coordinating and hosting of events on campus and in the community for the overall marketing and recruitment of the grant.
  • Assist with the planning, organizing and implementing of the outreach component of the grant; identify and establish contacts with high school, continuation high schools and community services agencies; prepare and distribute information, applications and other materials; and schedule campus visitations for possible program participants.
  • Maintain regular contact with students receiving counseling services; assist in the monitoring of academic progress and assist in the resolution of scholastic and personal problems.
  • Communicate with counselors and staff at high schools and community organizations and initiate and maintain positive relationships with COS faculty members to coordinate referrals, exchange information and provide quality services to program students.
  • Utilize the District's integrated software in performing the required duties of the position.
  • Perform related duties as assigned.


Qualifications

Minimum Qualifications (Education & Experience):

Any combination equivalent to:

  • Associate degree with coursework in business or related field
  • Three years increasingly responsible secretarial experience in a position with public contact.


Desirable Qualifications:

  • Strong Financial background
  • Experience in bookkeeping and recordkeeping.


Licenses and Other Requirements:

  • Valid Class III California driver's license.
  • An incumbent must be insurable at the "standard rate" by the employer's insurance carrier at all times while employed in this classification the College of the Sequoias.

  • Assist in the preparation and delivery of oral presentations.
  • Establish rapport with disadvantaged high school students and community members.
  • Provide and coordinate a variety of services and activities to assist students in their academic achievement and personal growth.
  • Communicate effectively both orally and in writing.
  • Type 50 words net per minute from clear copy.
  • Read, interpret, apply and explain rules, regulations, policies and procedures.
  • Work confidentially with discretion.
  • Maintain records and prepare reports.
  • Establish and maintain cooperative and effective working relationships with others.
  • Operate a computer and assigned software.
  • Train and provide work direction to others.
