Description

You will provide high level administrative support to the Orthopaedic Surgery Education Office, residency program, fellowship programs, and visa programs. Provide support to the Director(s) of the Residency/Fellowship Training Programs. Coordinate visa applications, update databases, maintaining personnel files, maintaining web-based programs for resident education and general administrative duties. Coordinate education events and work within budget. Prepare education expenditure report. Arrange visits, social events on and off campus for trainees, faculty, rotators, and staff activities. Independently prepare, draft, or edit correspondence and reports. Coordinate all educational conferences. Create annual budget for visiting speaker program. Assist with preparation and submission of reports to governing bodies and professional organizations. Assist supervisor in maintaining program accreditation, institutional and departmental compliance. Maintain medical education calendar and education website. Responsible for on-boarding residents, fellows, rotators, and visitors. Implement residency and fellowship recruitment plan. Perform purchasing order using UCLA Bruin Buy system, and perform travel arrangements using Travel Express system. Prepare reimbursement requests, place orders for supplies with vendors, and verify pricing, availability and shipping information. Resolve invoice/order discrepancies as identified by monitoring the queues for the individual systems in a timely manner. Handle various inquiries for the staff, faculty and visitors regarding orders and reimbursements. Salary Range: $24.28-48.04/hour



  • JOB QUALIFICATIONS

Qualifications

Required: * Four- year bachelor’s degree * Intermediate MS Excel, MS Word, MS Access, MS Powerpoint and MS Outlook skills * Skill in utilizing personal computer spreadsheet and word processing applications to prepare reports and presentations * Ability to establish and maintain cooperative and diplomatic working relationships with staff, vendors and PI’s * Ability to evaluate impact on workload of projects and meet specified deadlines * Skill in organizing information and documents for easy retrieval and to process work effectively. * Ability to work independently in organizing tasks, setting priorities to ensure that responsibilities are carried out in an accurate and timely fashion and to take direction * Ability to adjust working hours and if necessary work overtime or weekends to meet the needs of the office and the reporting deadlines * Ability to exercise good organization and work habits. * Interpersonal skills to effectively interact with faculty, staff, postdoctoral fellows and students. * Ability to prioritize workload when faced with multiple tasks * Ability to perform with frequent interruptions * Ability to walk distances up to 1/3 mile and lift up to 20lbs. * Strong written and oral communication skills to establish and maintain cooperative working relationships in a team-oriented environment. * Knowledge of grammar, spelling and punctuation in order to compose, edit and proofread all necessary correspondence. * Must demonstrate the ability to lead projects from inception to completion with management supervision. * Must be able to demonstrate organizational, analytical and time management skills and display the following aptitudes: communication, problem solving and conflict resolution * Must demonstrate excellent verbal and writing skills for executive communications, proposals and project reporting Preferred: * Knowledge of the UCLA Bruin Buy/PAC purchasing System * Knowledge of the UCLA Travel Express System * Working knowledge of UCLA policies and procedures as they relate to purchasing, accounts payable, travel, and external affairs. * Experience on Lean Project Team
