Job Summary | |||||||||||||||||||
Provide administrative support for the Institute of Complex Adaptive Matter (ICAM) and the Physics & Astronomy Department, including daily support in purchasing, accounts payable, entertainment & travel, and various department needs. Provide international scholar assistance for travel and fellowship awards. Coordinate travel grant applications and awards. Plan and coordinate events. Position Information
PHYSICAL DEMANDS · Physical Demands: Sitting - Extended period of time; Work on a computer for extended periods. · Lifting Requirements: Up to 50 Pounds (Medium); Lift office materials weighing up to 30 lbs. · Equipment Used to Perform the Duties: Computer and Peripheral Equipment WORK ENVIRONMENT · The Smoke and Tobacco Free Environment policy is intended to provide a healthier, safer, and more productive work and learning environment for the entire UC community. Minimum Knowledge, Skills, and Abilities (KSA): · Strong English writing, editing and proofreading skills. Interpersonal communication skills to communicate in a helpful, diplomatic, and Abilities (KSA) informative manner via email, in person, and telephone with a diverse population. · Skill to develop content for web pages, newsletters, and institute announcements. · Organizational skills to make timely progress on multiple projects simultaneously; and to meet deadlines while working with frequent interruptions and short turnaround times. · Advanced proficiency with Microsoft Word and Excel, web content management tools, email, and calendaring. Keyboarding skills to perform fast, accurate and professional work, and to produce technical documents containing scientific terminology and mathematical equations. · Problem solving skills to develop creative solutions to general problems and work through unfamiliar projects/assignments. · Skills to establish and maintain filing system for various projects, budgets, summary sheets, narrative statements, and progress reports. PREFERRED QUALIFICATIONS Preferred Education/Experience: · Experience with UC policies and procedures pertaining travel, entertainment, and procurement. · Experience using Aggie Expense, Kuali, FIS. Preferred Knowledge, Skills, and Abilities (KSA): · Knowledge of generally accepted accounting principles and federal cost principles for educational institutions.
