Job Summary:

The Department of Immunology & Microbiology is seeking applications for an Open Rank Administrative Assistant. This 1.0 FTE, University Staff (unclassified) position will provide administrative support, management of space and assets, and event coordination to the Department of Immunology & Microbiology.

Key Responsibilities

  • Provide direct support for administrative and research-related activities, including managing calendars, for the Department Chair, Faculty team, and fellow administrative team.
  • Assists with procurement related tasks, including processing expense reports, ordering office supplies, and tracking deliveries.
  • Manage the Administrative calendar and lists, including scheduling of reports, events, and meeting logistics (scheduling, room reservations, remote meeting setup, notification of members, agenda distribution, catering, etc.).
  • Ongoing maintenance of Listserv distribution lists and other lists utilized by this position and others to ensure timely dissemination of information.
  • Assist with travel and reimbursement related activities, including reconciliation of original receipts with reports, organize and maintain documents and files.
  • Maintain and update the department website as needed.
  • Master’s program support.
  • Assistance with administrative needs related to a National Research Service Award (NRSA) Institutional Research Training Grant (T32) providing funds for training predoctoral and postdoctoral candidates.
  • Document archive/filing.

Work Location:

Onsite – this role is expected to work onsite and is located in Aurora, Colorado.

Qualifications:

Minimum Qualifications

Level I:

  • One (1) year of general clerical or administrative experience in an occupational field related to the work assigned to the position.
    • Appropriate education will substitute for the required experience on a year-for-year basis.

Level II:

  • Two (2) years of general clerical or administrative experience in an occupational field related to the work assigned to the position.
    • Appropriate education will substitute for the required experience on a year-for-year basis.

Level III:

  • Three (3) years of general clerical or administrative experience in an occupational field related to the work assigned to the position.
    • Appropriate education will substitute for the required experience on a year-for-year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications

  • Experience with Suite, Teams, scheduling software, and software to manage data and create surveys and reports.
  • Experience working with CU systems such as CU Marketplace, EMS Web, procurement, and Concur.
  • Experience working in a higher education, healthcare, or academic medical environment.
  • Experience with event coordination, from planning to clean-up.

Anticipated Pay Range:

The starting salary range (or hiring range ) for this position has been established as:

Level I: $36,120 - $41,899

Level II: $37,920 - $43,992

Level III: $48,396 - $56,143

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
