Required Qualifications (as evidenced by an attached resume):
High School Diploma/GED (foreign equivalent or higher). Four (4) years of full-time administrative experience (student experience may be considered). Event coordination experience. Experience with Microsoft Office Suite and/or Google applications.
Preferred Qualifications:
Bachelor's degree (foreign equivalent or higher). Experience working in a higher educational institution. Experience working with underrepresented and/or disadvantaged student populations. Experience coordinating travel and/or expense reconciliation. Experience with purchasing and/or budget tracking. Experience with SBU systems (Concur, Wolfmart, and/or PeopleSoft, etc.). Experience writing professional communications (email, reports, letters, etc.).
Brief Description of Duties:
The incumbent will be responsible for providing support to the Center for Inclusive Education programs, Program Managers, and Administrative Coordinator. The incumbent will handle all related administrative responsibilities and serve as a contact person for students, graduate programs, and other administrative departments. Responsible for correspondences, related activities and events, the processing of paperwork, and the management of program/student data. The incumbent will prepare appointment paperwork, purchase requisitions, and personnel transactions before final consideration by the Assistant Dean for Diversity and Inclusion. Incumbent must be able to effectively multi-task in a fast-paced, deadline-driven environment with a high degree of accuracy and organization. The successful incumbent will have excellent customer service and interpersonal skills, exercising strong organizational and time-management skills with exceptional attention to detail. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem-solving.

  • Program Coordination: Day-to-day coordination of CIE diversity grants/programs to enhance the recruitment, retention and professional development of underrepresented minority students and postdoctoral fellows. Duties include assistance with planning and executing high-visibility activities, and participation in project- related meetings, both on- and off-campus. Organize tasks and agendas, take minutes, write correspondence, and assist as necessary on special projects and with the daily support of the Program Manager.
  • Program Administration: Assist with the maintenance of program-related files and administrative responsibilities associated with expenses, including travel reimbursement forms, catering quotes, honoraria, etc. Serve as a liaison with Procurement and the Office of Grants Management to ensure the timely processing of invoices and requisitions.
  • Communications and Outreach: Assist the Program Manager with the preparation of program materials, event promotions, scholar announcements and reports for broad distribution, including newsletters and annual reports. Contribute to the CIE social media campaigns by sharing appropriate programmatic happenings and updates.
  • Data Management: Support the Program Manager in the collection and analysis of relevant data (scholar participation, budget expenditures, and activity outcomes) as well as assist with the preparation of presentations of outcomes and report findings to be given at local and national conferences.
  • Other duties as assigned.

The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.
