The title/pay level of this position will be based on the qualifications and experience of the candidate identified for hire: Academic HR Analyst 1 or 2.

Academic HR Analyst 1 hiring salary range: $23.83 - $28.74 / Hour

Academic HR Analyst 2 hiring salary range: $23.83 - $38.32 / Hour


The Academic Personnel team in the School of Biological Sciences provides a full range of support to the academic population in the School, which is comprised of ladder-rank faculty, teaching professors, adjunct professors, professional researchers, visiting scholars, postdoctoral scholars, and temporary and continuing lecturers.

At the Academic HR Analyst 2 level:

The Academic HR Analyst 2 has independent analytical and administrative responsibility in the coordination of the day-to-day operations of the School academic personnel, payroll, and benefits functions for non-Senate academics, including professional researchers, adjunct professors, academic coordinators, and temporary and continuing lecturers. Provide support for faculty file preparation and routing. Support annual APM 025 disclosure and Category I requests in the UC OATS system; manage academic recruitments in AP Recruit and prepare appointment files for hires. Responsible for analyzing AP issues and providing expert advice, training, and policy interpretation for assigned non-Senate academics in Biological Sciences. Assist in the areas of employee and labor relations. Actively participate in long- and short-term planning, and development of department personnel and payroll procedures, programs and systems. Perform other duties as assigned.

At the Academic HR Analyst 1 level:

The Assistant Academic HR Analyst will provide support to the academic personnel functions in the School of Biological Sciences. The incumbent will support file preparation for all types of academic appointees, including temporary and continuing lecturers, adjuncts, faculty, professional researchers, and academic coordinators. Analyze and review all file documents for accuracy and compliance with school, campus, and system-wide guidelines. Assist with new hire onboarding, leave administration, and visa processing for academics. Support academic recruitment activities, including faculty, Unit 18, academic coordinator, and professional researcher searches in coordination with AP Analysts. Perform UCPath entry for all types of academics and troubleshoot as needed to facilitate timely corrections or updates. Create and maintain position handbook, and track and monitor procedure guidelines. Provide support on special projects as needed and directed. Perform other duties as assigned.

Qualifications at the Academic HR Analyst 2 level:

  • Demonstrated experience working with a broad scope of complex personnel and related functions, such as recruitment/selection, compensation, employee relations, reviews/ evaluations, benefits administration, and termination/layoffs.

  • Thorough knowledge of systemwide and organization policies, contracts, procedures, and practices that govern academic HR administration. Strong knowledge of university procedures and regulations concerning academic personnel, including recruitment, academic reviews, compensation, payroll, leaves, benefits, affirmative action, visas, and fiscal administration with the ability to appropriately interpret and implement those policies.

  • Knowledge of human resources management systems and other related business software programs and systems. Demonstrated ability to learn and work independently with a variety of computer applications, including payroll and other HR systems. Experience with UCSD information systems (UCPath, OATS, APOL systems, etc.) strongly preferred.

  • Working knowledge of human resources administration. Knowledge of state and federal law as they pertain to human resources.

  • Demonstrated ability to analyze, interpret, and implement complex policies and contracts. Demonstrated ability to implement wage agreement components. Ability to communicate issues to management and employees as required.

Qualifications at the Academic HR Analyst 1 level:

  • Familiarity with human resources administration. General knowledge of state and federal law as they pertain to human resources administration, with the ability to interpret policies and procedures relevant to represented and non-represented employees.

  • Ability to interpret unit agreements as well as contract negotiations, and to implement wage agreement components. Ability to communicate these issues to management and employees as required.

Qualifications for both levels:

  • Demonstrated organization, problem solving, and communication skills. Strong oral communications skills with the ability to communicate and interact with diverse individuals from within and outside the university, using tact, diplomacy, flexibility, and sensitivity. Ability to explain policies, procedures, and other concepts in easily understandable terms.

  • Excellent written communication skills with a demonstrated ability to write concisely, persuasively, and to clearly summarize information. Excellent skill proofreading documents for accuracy, clarity, grammar, syntax, and continuity.

  • Strong analytical skills to conduct analysis and develop recommendations, demonstrating organizational and problem-solving skills. Excellent organizational, analytical and problem solving skills to independently coordinate all details of a project ensuring that all deadlines are met. Skill to organize and prioritize large volumes of material to meet established deadlines.

  • Ability to maintain confidentiality, to work independently and exercise good judgment to identify problems and recommend reasonable course of action for problem resolution.

  • Strong interpersonal skills with the ability to develop and maintain good working relationships with employees, faculty, managers, supervisors, and campus administrators.

  • Skills in conflict resolution, mediation, and negotiation, with demonstrated knowledge and ability to develop and identify referrals as appropriate to a variety of offices and services on- and off-campus. Demonstrated ability to clarify and resolve ambiguous and/or conflicting needs.

  • In-depth knowledge of computer environments, including a variety of standard web and business- and research-related software such as MS Office Word, PowerPoint, Outlook, Access, and Excel, Adobe products, and internet search engines. Knowledge of and ability to use Web-based applications, with the ability and willingness to increase skills as needed to meet the demands of business.

  • Experience working in higher education or similar environment.

  • Job offer is contingent upon satisfactory clearance based on Background Check results.

  • Occasional evenings and weekends may be required.

  • The title/pay level of this position will be based on the qualifications and experience of the candidate identified for hire: Academic HR Analyst 1 or 2.


Pay Transparency Act

Annual Full Pay Range: $48,900 - $102,300 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $23.42 - $48.99

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
