Position Description

Position Title: Registrar
Department: Registrar’s Office
Position Status: Full-Time, Twelve (12) Month Position
Directly Reports To: Provost
Classification: Exempt

POSITION SUMMARY & STANDARDS:

Catawba College (the “College”) seeks a Registrar to manage and oversee the operations of the College’s Registrar’s Office and staff. The selected candidate will ensure the confidentiality and integrity of the College’s academic records of the College, including the student's permanent record, provide timely and efficient responses to requests for information, and provide courteous and timely service to the various constituencies who use the Registrar's services.

ESSENTIAL JOB FUNCTIONS:

  • Evaluate transcripts of prospective and new students in a timely fashion in response to requests from the Admissions Office; update transfer evaluation forms as necessary.

  • Work closely with the Director of First Year Experience and the Associate Provost to provide requested new student information.

  • Certify athletic eligibility according to conference and NCAA regulations; including but not limited to collection of necessary data, coding of student athletes in Banner (with ATHL attribute and sport records per academic semester), calculating GPAs, and completing appropriate forms.

  • Organize, provide necessary training, and staff all preregistration and registration functions, including but not limited to providing students, faculty, and staff with registration materials and communicating with all persons regarding registration processes

  • Manage graduation certification process, including but not limited to annually auditing student transcripts and certifying students for graduation.

  • Supervise Registrar’s Office staff and manage Registrar’s Office budget in accordance with College guidelines.

  • Serve as ex officio member on Academic Policies and Standards Committee.

  • Direct implementation of academic policies and procedures.

  • Supply National Student Clearinghouse all pertinent information four (4) times per semester so student loans can be deferred

  • Ensure completion of Veteran Verification, including but not limited to coding of Banner data and reporting and monthly review of hours enrolled.

  • Update transfer articulation with the NCCC each spring.

  • Update registrar web forms, exam schedules, and other information, and provide to College public relations staff as needed.

  • Maintain College course catalog information, including but not limited to maintenance of faculty approved course changes, modifications, and additions and of affected Degree Works scribe blocks.

  • Supervise, manage, and oversee the following office functions:

    • Compilation and distribution of registration statistics, lists, and reports to College stakeholders;

    • Computerized student records system and data collection for institutional reports;

    • Declarations of majors and minors, changes of majors and minors, and assignment of appropriate advisors (includes distribution of advising folders to faculty);

    • Issuance of midterm and semester grades;

    • Grant approval for students to take transient work in keeping with the College regulations;

    • Annual microfilming of records;

    • Requests for transcripts;

    • Maintenance of registration forms for the effective operation of the office;

    • Development and maintenance of database for scheduling of classes;

    • Follow up on outstanding "I" grades and transient, transfer, and immunization records;

    • Entry and verification of graduation entries on new graduate transcripts;

    • Entry and verification of transfer and transient entries on transcript;

    • Approval of ad hoc reports requested by College personnel from the registrar's database;

    • Provision of advisors with academic information for their advisees;

    • Update of student audits each semester;

    • Update and provision of IPEDs and NCHEDs data each semester; and

    • Acadeum course records and registration.

  • Other duties, responsibilities, and activities may change or be assigned at any time with or without notice.

EDUCATION/EXPERIENCE:

  • Master's Degree in relevant field preferred; bachelor's degree required.

  • Five (5) or more years’ experience in a data-driven environment.

  • Selected candidate must evidence comprehensive computer knowledge and skills.

  • Experience in a higher education or non-profit sector is also desired.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to work closely with faculty, staff, and students.

  • Ability to communicate effectively orally and in writing with all College constituents.

  • Comprehensive understanding of Ellucian Banner and Degree Works modules.

  • Knowledge of Microsoft Office and experience with Cognos or similar academic database.

  • Ability to listen, speak clearly, ask questions, and solve problems.

  • Ability to work under pressure of specific and strict deadlines.

  • Manage multiple, concurrent projects.

  • Maintain strict confidentiality and attention to detail are essential.

  • Demonstrate tact, a positive attitude, courtesy, and discretion in dealing with College constituents.

  • Work independently as well as function effectively in a team and within a diverse group of people.

  • Detail-oriented and willing to work in a changing environment.

  • Ability to interpret and abide by Catawba College policies and procedures and FERPA guidelines.

WORK ENVIRONMENT: This job operates primarily in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines.

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary role; however, some filing and movement is required. This would require the ability to lift files and file boxes, open filing cabinets, walking, and bending or standing as necessary.
