Communication Coordinator - Sponsor Relations
Job Description
Position Overview: We are seeking a skilled and dynamic Communication Coordinator to manage all aspects of communication and coordination with conference sponsors. The successful candidate will play a pivotal role in ensuring effective communication, relationship management, and collaboration between the conference organizing team and our valued sponsors. This role requires exceptional organizational skills, excellent interpersonal abilities, and a strong understanding of event management and sponsor engagement.
Position Type: Full Time
Travel: Travel required, including weekends.
Responsibilities:
Sponsor Communication:Serve as the main point of contact for sponsors, addressing their inquiries, concerns, and requests promptly and professionally.
Develop and maintain strong relationships with sponsors, understanding their goals and needs to tailor communication strategies accordingly.
Communication Strategy:Collaborate with the Executive Director to develop and execute a comprehensive communication plan for sponsors.
Craft clear and compelling communication materials, including email communications, newsletters, sponsorship packets, flyers, brochures, and sponsor-specific announcements.
Information Dissemination:Ensure sponsors receive all necessary information about the conference, including logistics, schedules, branding guidelines, and promotional opportunities.
Coordinate the distribution of promotional materials and resources to sponsors in a timely manner.
Collaboration and Coordination:Work closely with cross-functional teams, including education, marketing, design, and logistics, to align sponsor-related communications with overall conference goals.
Collaborate with the sponsorship sales team to ensure seamless transition from contract signing to sponsorship fulfillment.
Sponsor Engagement:Develop creative initiatives to enhance sponsor engagement and visibility before, during, and after the conference.
Coordinate sponsor-related activities, symposia, and networking opportunities to maximize sponsor interaction.
Ensure all supporter benefits and recognition are provided on time and as outlined in the sponsorship agreements.
Problem Resolution:Proactively identify and address any challenges or concerns raised by sponsors, seeking timely solutions and maintaining a high level of sponsor satisfaction.
Reporting and Analytics:Track and measure the effectiveness of sponsor communications and engagement strategies, providing regular reports to the Executive Director.
Use data-driven insights to optimize communication approaches for future events.
Qualifications:
- Bachelor’s degree in communication, marketing, business, or a related field. A relevant master’s degree is a plus.
- Proven experience five years in communication and sponsor relations, preferably within the conference or events industry.
- Exceptional written and verbal communication skills, with a keen eye for detail and the ability to adapt messaging to different audiences.
- Strong organizational skills and the ability to manage multiple tasks and priorities simultaneously.
- Proficiency in using communication tools and software, including email platforms, Canva and other design tools, CRM systems, and project management tools.
- High level of professionalism and customer service orientation, with the ability to represent the conference brand effectively.
- Creative thinking and problem-solving skills, with a proactive approach to addressing challenges.
- Familiarity with event management principles and sponsor engagement strategies.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
- Flexibility to work evenings or weekends during peak conference periods.

Pay: $51,500.00 - $55,636.00 per year
