JOB SUMMARY

The Program Associate plays a critical administrative and project management role central role in coordinating the Homelessness Initiative's grantmaking activities. The associate will provide support for key operational areas of the team, including project management/tracking, communications and knowledge sharing, coordination of meetings and contribution to project reports, and grant process management. This position will also assist the team with general administration functions including the coordination of convenings and scheduling.

Reporting to the Senior Program Officer, the Program Associate will participate in project and department-wide activities, meetings, conferences, etc. They will participate in programming discussions and will be conversant with the Foundation's approaches. They will possess significant writing skills and excellent ability to multi-task.

Partnership is a key tenet of the Homelessness Initiative program strategy; consequently, this person should be adept at interacting with a range of diverse stakeholders in a professional, collaborative, and diplomatic way. The successful candidate will also have a demonstrated commitment to diversity, equity, and inclusion.

RESPONSIBILITES

Coordination of the Grant Making and Reporting Processes

  • Tracks and manages grant budgets.
  • Tracks grant progress to ensure timely approvals.
  • Provides regular updates to program officers regarding status of grant application's documents and of funded projects.
  • Participates in work groups within the department and across the organization and captures site accomplishments and site-specific reports.
  • Liaises with Grants Management to ensure compliance with internal guidelines and processes.
  • Works in conjunction with program officers and grant applicants to develop and submit grant proposals in accordance with approved strategies.
  • Reviews, analyzes, and prepares grantee progress reports and payments for approval.
  • Supports the effective and timely delivery of information and technical assistance to grantees and other key partners.
  • Participates in team-based strategy development.

Program Liaison and Administrative Support

  • Provide support for key operational and administrative areas including project tracking, coordination of meetings, vendor/consultant contract agreements, and contribute to project reports, grant oversight, and planning.
  • Provides administrative support to the Homelessness Initiative, including scheduling meetings for the Senior Program Officer, logistical support for team meetings.
  • Assists in designing, organizing, and implementing Foundation sponsored- projects and convenings such as funder's forums, site, regional and statewide convenings.
  • Coordinate external program-related events such as meetings, conferences, and convening as needed.

Communications & Learning

  • Research, communications, meetings, and other support.
  • Responds to programmatic inquiries from within and outside the foundation.
  • Participates in community engagement, partnership development, and other relationship-building activities.
  • Assists in communications activities such as preparing presentations and developing materials that describe programmatic work and strategies.
  • Collects, tracks and posts stories and events for internal Hilton Foundation communications purposes.
  • Maintain and ensure integrity of monitoring data in the Foundation's grant management system; contribute to producing analytical dashboards on grant portfolio.
  • Undertake program-related research, as needed, to identify technical trends best practices in Homelessness, manage and communicate information.

QUALIFICATIONS
Required

  • Bachelor's degree in public policy, Political Science, Psychology, Sociology, Business and Project Management, or related field, or four years of experience in the non-profit sector in lieu of degree.
  • Minimum 4 years of relevant work experience preferably in the nonprofit sector.
  • Excellent writing skills and the critical thinking skills to analyze and summarize reports (e.g., progress reports from grantees, research reports related to housing and homelessness)
  • Proactive project management and organizational skills (e.g., effectively managing, and prioritizing workflow to meet due dates and reaching out to team members ahead of time)
  • Substantial oral communication and relationship-building skills; interacts with others in a professional and diplomatic way.
  • Works well independently and collaboratively within a team and demonstrates a high degree of initiative, resourcefulness, and flexibility to meet needs of the role.
  • Excellent technological skills to include Microsoft Office (emphasis on Outlook, Word, and Excel) and database experience (e.g., Giving Data, Salesforce, related grants and/or data management software). Excel skills include generating graphs and charts, how formulas work. Pivot tables not necessary.
  • Ability to continually seek information and look for new approaches to processes and practices.

The hiring base salary range for this position is $74,000 to $99,000. The final base salary will be determined based on individual qualifications and experience.
