JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Energy Institute in the College of Earth and Mineral Sciences is seeking candidates for a Financial Associate. This position will:

  • Oversee all financial operations of the Energy Institute by processing all financial forms and expense reimbursements for faculty, graduate students, undergraduate students, staff, and visitors through SIMBA and CONCUR

  • Process order requests and reconcile purchase card transactions, issue and cancel purchasing cards for users at the Energy Institute

  • Monitor spending on research/general budgets using SIMBA /BOBJ Report

  • Oversee and maintain Institute clearing accounts

  • Evaluate and process monthly direct bill charges including gas cylinders, mail charges, LEO expenses, ILabs, Engineering Services, phone charges, and copiers

  • Process all travel reports

  • Train, supervise, and approve forms and time card submissions for the Administrative/Financial Assistant position

  • Serve as an approver in SIMBA and CONCUR as dictated by set process flow

  • Process check deposits and wire payment transactions, and reconcile petty cash funds

  • Evaluate funding availability for graduate student appointments and put through labor distributions in SIMBA

  • Submit job postings through Workday for Postdoctoral Scholar positions, research positions, and all wage payroll appointments

  • Process new hires and manage wage payroll appointments and perform timekeeper duties

  • Provide any necessary duties needed for the EI Director

  • Evaluate all financial documents for completeness, accuracy, and conformance with applicable guidelines/regulations and procedural requirements

  • Communicate financial policies and procedures to all EI faculty, students, and staff to ensure compliance with University guidelines

  • Assist the Administrative Support Coordinator with financial budget development and financial management of general and research budgets

Education and Experience:

This position typically requires an Associate Degree or higher plus four years of related experience or an equivalent combination of education and experience.
