We have an opportunity at our corporate offices in Chicago for a PS2 Programming and Events Administrator on our Physician Satisfaction team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.
 

As a PS2 Programming and Events Administrator; you will coordinate event related activities and projects of PS2’s integrated events strategy related primarily to workflow interventions (STEPSforward) leading to the successful development, expansion and enhancement of PS2’s educational offerings and events. Primary responsibilities include event management; customer/partner outreach and service; preparation for presentations; documentation and reporting to achieve key milestones and deliverables. Also responsible for helping to grow the PS2 programming.
 

RESPONSIBILITIES:
 

Projects and Planning related to PS2 educational events and conferences
  • Collaborate with the program committee to implement, administrate, organize, and evaluate all aspects of virtual events, bootcamps, and conferences
  • Work with partner organizations to facilitate, coordinate, execute, and support logistics related to event related programs
  • Review and update key milestones and deliverables including speaker selection, webinar platforms, marketing materials, event registration through collaborative relationships with program and events managers, and external partners
  • Ensure team members and leadership are aware of key/critical issues impacting events and may recommend solutions.
  • Handle any arising issues and troubleshoot any emerging problems on the event day
  • Assist in material production, audio/visual needs, travel and lodging, and other activities required to successfully conduct a well-organized event/presentation.
  • Draft emails and other communication pieces
 

Surveys & Reports
  • Compile event and conference survey results using Excel spreadsheets and web-based survey development tools like SurveyMonkey
  • Maintain web-based platforms for content and document management, as well as provide content for web pages and collateral materials
  • Create surveys to gather information to support virtual and live events.
  • Create and maintain dashboard for reporting progress; assist in writing reports relating to projects

PS2 Programming

  • Research ideas or suggest for new PS2 programming opportunities
  • Assist with building presentation decks and moderate webinars
  • Identify potential PS2 collaborators for webinars and events
 

May include other responsibilities as assigned
 

REQUIREMENTS:
  • Bachelor’s degree in business or related field required
  • Minimum 3 years’ experience in program coordination and planning for a non-profit or association management
  • Experience in meeting-related field: registration, travel, planning, virtual event platforms (e.g., webinar production experience) preferred
  • Experience in content management systems
  • Strong interpersonal skills, including relationship-building; ability to interface effectively with people of varying disciplines, background, and expertise
  • Strong written and verbal communication skills; able to communicate with diverse stakeholders at all levels of an organization
  • Ability to work independently and to function effectively as a team member
  • Proficient in use of Microsoft Office applications including, Word, Excel, PowerPoint, SharePoint, and Outlook. Experience with Microsoft™ Project and web-based survey development tools preferred.
  • Willingness to work in a fast-paced, collaborative environment
  • Some travel may be required
