Department Description

The Physics Department falls within the College of Letters and Sciences, Division of Mathematical and Physical Sciences, and has a mission of teaching, research, and service. This position provides academic personnel support for 51 Senate faculty and an additional 5-10 non-Senate faculty. The department hosts 4-8 events each year for which this position takes the lead in providing administrative support.



Job Summary

The Academic Personnel Specialist, under the general supervision of the Chief Administrative Officer (CAO), provides analytical and administrative support for all actions pertaining to academic personnel matters in the Physics Department. This position acts as a resource for academic personnel policy and practice; analyzes reviews, prepares, and processes academic actions; determines eligibility of all academic titles for advancement, and compiles/prepares dossiers. The position provides administrative and analytical support for the recruitment process for academic positions, and serves as a resource, providing advice, interpretation, and guidance regarding academic personnel issues for faculty, non-student researchers, managers, and staff. This position is responsible for event coordination and alumni/donor relations. Department Specific scope of job: Physics is an academic department in the College of Letters & Sciences, and is comprised of 46 Academic Senate faculty members, ~40 research physicists and postdoctoral scholars, about 155 graduate students, and 18 staff members. The Department is dedicated to excellence in teaching, research, and service.

PHYSICAL DEMANDS

·       Physical Demands: Work at computer for extended periods of time. Lift boxes materials weighing up to 10 lbs.

WORK ENVIRONMENT

·       Restricted vacation during peak workload periods.

·       Work occasional overtime evenings and weekends, usually on short notice, to meet operational needs.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

·       Experience interpreting and applying personnel policy and procedures in a higher education setting.

·       Experience utilizing standard business software applications such as Microsoft Word, Excel, and electronic accounting and academic personnel systems.

·       Experience managing projects and multiple tasks including planning and coordinating assignments, adapting to changing priorities, meeting deadlines and maintaining a high level of productivity and efficiency.

·       Experience gathering and analyzing information and compiling reports.

Minimum Knowledge, Skills, and Abilities (KSA):

·       Knowledge of academic personnel and compensation administration.

·       Strong written and oral communication skills.

·       Political acumen to interact effectively with donors and prospective donors. Leadership abilities to delegate and to oversee the work of others.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:   

·       Experience providing excellent customer-oriented service and assistance.

Preferred Knowledge, Skills, and Abilities (KSA):

·       Skills to perform basic arithmetic and to recognize errors.

·       Problem solving skills to develop creative solutions to general problems and work through unfamiliar projects/assignments.
