Assistant Director of Operations

Full-Time Salary Position

General Description: The Assistant Director of Operations serves as second in command and reports to the Executive Director at the Waccamaw Youth Center, Inc.; a private, non-profit agency committed to providing comprehensive residential services for abandoned, abused, and grossly neglected males, ages 12-21.

Primary Duties and Responsibilities

The AD performs a wide range of duties including some or all of the following:

Program Management

  • Responsible for all program planning, organizing, operating, and staffing.
  • Supervise all program management, working closely with staff to strengthen programming and streamline processes across programs.
  • Works with Executive Director to ensure all DSS regulations, state license and organizational membership requirements are met and maintained
  • Demonstrate and provide leadership to the commitment of continuous quality improvement in all aspects of program development and implementation
  • Measure performance and improve quality of services in all agency programs and all facets of agency operations
  • Provide leadership on staff development across programs with a particular focus on therapeutic skill building
  • Assess program and service needs on an ongoing basis and develop new programs as needs emerge
  • Identify and implement best practices
  • Develop forms and records to document and evaluate program activities
  • Create ongoing opportunities for all staff members to provide feedback on program operations.
  • Inform the Executive Director (and other staff members and Board of Directors as advisable) of program issues, changes, and accomplishments
  • Review the project schedule with Executive Director and all other staff that will be affected by the program activities; revise the schedule as required
  • Determine the objectives and measures upon which the project will be evaluated at its completion

Operations Management

  • Regularly interact with the Executive Director and Director of Operations to ensure coordination of effort in program management particularly involving facilities, volunteers, transportation, visitors, etc.
  • Improve efficiency and effectiveness of all internal operations
  • Develop a deep knowledge of the Center's mission, values, long term goals, growth, challenges of the program and continuously work towards new accomplishments
  • Enhance agency infrastructure to better support agency continuity and consistent programming
  • Will be a part of the spokesperson team consisting of the Executive Director and Assistant Director of Operations
  • Manage information technology, including but not limited to ongoing maintenance, social media, and updating of systems, hardware, and software
  • Oversee building maintenance by contracting services and repairs as needed
  • In consultation with the Executive Director, recruit, staff and/or volunteers with appropriate skills for the project activities
  • Ensure that project files are properly maintained and kept confidential as required
  • Ensure that all program personnel receive an appropriate orientation to the program
  • Develop and organize files to ensure that all program information is appropriately documented and secured
  • Monitor the progress of the program and make adjustments as necessary to ensure the standard of care is achieved in compliance with state agency and accreditation standards
  • Establish a communication schedule to update stakeholders including appropriate staff in the organization on the progress of the project
  • Review the quality of the work completed with the project team on a regular basis to ensure that it meets the project standards and compliances.

Human Resources

  • Manage human resources, including responsibilities on hiring team, evaluation, employee training and staff development, employee policies, and legal compliance.
  • Administer benefits. Submit as required to ED and other agencies, written reports on the program operations as required

Community Partnerships

  • Strengthen relationships with other service providers to improve service delivery to clients.
  • Serve on community committees and boards as directed by the Executive Director.

Other

  • Along with the Executive Director and senior staff, provide staff support and guidance to the Board of Directors and serve as staff liaison to relevant subcommittees of the Board
  • Provide programmatic input to the Executive Director in strategic planning
  • Represent the agency at private and public functions as needed
  • Participate in major Center and community events
  • Submit to the Executive Director written annual and interim reports as required

Qualifications

  • Bachelor’s degree in Human Services, or related field required; Masters in Public Administration or related field, preferred.
  • 5 years experience administering government grants required.
  • 5 years Non-for-Profit management experience required.
  • Demonstrated familiarity with nonprofit policies and procedures required.
  • Proficiency in Microsoft Office required.
  • 3 years management experience within a developmental project management team required.
  • Previous social service milieu experience strongly preferred.

Skills and Abilities

  • Proven working experience as a project administrator in development within the Non-Profit
  • Excellent verbal and written communication skills.
  • Team player with superior client skills as well as capacity to engage in critical thinking and analysis of programs, and service delivery.
  • Ability to adjust to the diverse needs of clients and staff.
  • Skills should include demonstrated leadership ability, problem solving, data analysis, personnel management, and strong interpersonal skills.
  • Solid technical background, with understanding or hands-on experience with accreditation development and web technologies.

Salary: $39k-$45k (Base rate pending experience) *Bonuses not included with base rate.

Pay: $39,000.00 - $45,000.00 per year
