What We Want

The Program Coordinator I will coordinate the planning, development and implementation of the Department's Seminar Program (Division Seminar Series), the Medals Symposia & Lectureships in Chemistry, and annual distinguished lectureships that are awarded to eminent scholars according to the intent of the awards.

What You Need to Know

Salary Range: Compensation will be commensurate to selected hire's experience

Work Schedule: Able to work occasional nights and weekends

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Two years of experience in event planning for large functions

Required Special Knowledge, Skills, and Abilities:

  • Proficiency in spreadsheets and database applications

  • Excellent verbal and written communication skills

  • Attention to detail and effective organizational skills

  • Ability to build strong working relationships and a positive work environment

  • Ability to work in a team environment and able to lead efforts and support a culture of intra-team respect and cooperation

Preferred Qualifications:

  • Working knowledge of graphic design software

  • Experience with processing travel reimbursements on Concur

  • Experience with monitoring event budgets and accounts on FAMIS/Maestro

  • Experience with planning workshops and conferences and hosting prominent visitors

  • Experience with compiling reports

  • Experience and knowledge of TAMU purchasing guidelines and payment card processing

Responsibilities:

  • Departmental Program Planning & Coordination: Coordinates the Department's Seminar Program (Division Seminar Series). This involves making travel and lodging arrangements, organizing visit schedules, preparing travel expense reports, processing of travel reimbursement requests, making dinner reservations and other arrangements related to the visits of the Biological, Organic, Inorganic, Physical, Analytical and Nuclear Division seminar speakers. Coordinates the Medals Symposia & Lectureships in Chemistry at Texas A&M. The department has annual distinguished lectureships that are awarded to eminent scholars according to the intent of the awards and this position assist with the coordinator of these lectureships. Coordinates with the Dept's graduate office regarding graduate student recruitment events. Assists in preparation and monitoring of budgets for programs and events. May assist in identifying funding opportunities. Responsible for planning and implementing all aspects of the events and programs. Serves as the liaison and point of contact for all department events. Responds to inquiries regarding program and event offerings. Alongside the Marketing Communications representative, coordinates program and event communications and marketing. Compiles program statistics. Assists in the evaluation of departmental programs. Establishes new practices as needed for the success of the program and events. May supervise event volunteers and other third-party staff. Provides exceptional customer service and is point of contact for Chemistry event inquires. Maintains event supplies and equipment.

  • Faculty Visits: Coordinates with the Dept's faculty search/recruitment committee regarding travel and visit schedules of prospective faculty. Responsible for scheduling faculty candidates visits, itineraries, and assist the faculty host throughout the process. Maintains and oversees department event calendar. Processes all travel bookings for seminar, and faculty visitors in Concur. Submits all receipts, contracts, and invoices to the Business Office for further processing and payment. Serves as liaison with third-party vendors providing services to the event(s).

  • Support for Department Committees: Provides assistance when needed in support of activities/functions of certain Department Committees.  

  • Administrative : Gathers, enters, and/or updates data to maintain departmental records and databases. Establishes and maintains files and records for the office. Monitors and coordinates accounting activities as appropriate and assists in the preparation of internal reports for the department. Creates and maintains databases necessary to track all event files and records as well as performs other duties as assigned.
