Project/Grant Coordinator

Employment Status: EXEMPT

Department: Administration

Reports To: Director of Development

Purpose of Position:

The purpose of this position is to support the provision of client services through grants management, maintaining client records, tracking victim services, and providing fiscal support. The position also provides support for the development officer. This position will enhance and assure continuity of client services in accordance with agency philosophy, mission, policies and procedures.

Primary Responsibilities:

Aids in administering and managing grant programs to enhance client services. Aids in the maintenance of the data system, prepares statistical reports, and prepares required documents for various funding sources. Is responsible for some bookkeeping and fiscal duties relating to grants and contracts.

Maintaining client records, and ensuring accuracy of program data. This includes maintaining the automated case-tracking system for client’s demographic information, case progress, and client service activities.

Works with agency databases to include the client/program data system, donor database, grants management, and event management systems.

Responsible for time keeping for the grant programs including employees, volunteers, and interns time verification.

Conduct victim satisfaction surveys and needs assessments to improve victim services delivery. This will include facilitating the Outcomes Measurement System survey which addresses clients experience at the Children’s Advocacy Center and helps to ensure that the needs of the families are being met. Project evaluation to determine effectiveness of agency grant activities will be conducted.

Assists with filing and scanning financial information associated with financial reporting for grants and other funding sources. Provides support for the grant related activities.

Completes billing for medical evaluations through Victim’s Compensation, and Collier County. Insures that medical billing is completed as required by agency contracts and agreements with funders.

Prepares the grant invoice and tracks grant requirements. Prepares related statistical, compliance, and other grant related reports as necessary.

Performs all other duties as assigned.

Other/Miscellaneous:

  • Requires a close working relationship with the Chief Financial Officer and the Director of Development for consultation, advice and decision making. Works closely with other departments and agency staff.
  • Some state and local travel required.
  • Support fellow staff members with phones and general office work as time allows.
  • High level of organizational and managerial functions necessary.

Education:

Bachelor’s or Master’s Degree in non-profit management, business, communications, or other relevant field of study.

Experience:

3 years’ experience in victim’s services, non-profit management, and grant management.

Skills/Demonstrated Competency:

  • Efficient and skilled with client, fiscal, and grant management data bases.
  • Mid-level writing skills
  • Ability to work effectively and cooperatively with a variety of personality types.

Aptitudes:

  • High level of motivation and ability to work independently.
  • Ability to work cooperatively with coworkers and the community.
  • Ability to use time management effectively and manage multiple tasks simultaneously.
  • Willingness to work evenings and weekends when needed.
  • Ability to work well under pressure to meet deadlines.

Job Type: Full-time

Pay: $55,500.00 - $62,000.00 per year

Schedule:

  • 8 hour shift
  • Monday to Friday
  • Weekends as needed
