Controller-Director of Support Services

GENERAL RESPONSIBILITIES

The Controller-Director of Support Services is responsible for supporting the ongoing operations of Rowan Helping

Ministries, including accounting, human resources, and internal and external reporting. Included in this is the

responsibility of establishing and maintaining internal controls, compliance with rules, laws and regulations, and

maintaining accurate and up-to-date financial records, employee benefits, payroll, and supporting documentation related

to each program. This position reports to the Executive Director.

The duties and responsibilities of this position requires approximately 40 hours per week. Regularly scheduled hours shall
be between 8:00am to 5:00pm Monday through Friday with other hours as needed to accomplish duties and
responsibilities.

 

SPECIFIC RESPONSIBILITIES

Financial Analysis and Reporting

o Responsible for the systematic recording of financial transactions and assist in the setting and implementations
of standards of control.

o Prepare monthly financial reports to be used by Rowan Helping Ministries for informational and decision-making
needs, ensuring the organization has accurate and informative financial reports and cash flow projections.

o Attend and participate in the Finance Committee meetings and maintain the minutes.
o Ensure timely and accurate processing of payables and maintain accurate general ledger accounting and

supporting documentation.

o Assist auditor with annual financial audit and have all records and files needed to complete accurate audit. Pull
all related materials needed and answer questions as they arise to help auditor complete audit in a timely manner.

o Complete and prepare sales tax refunds and ensure timely filing of 1099s through 3rd party provider.

o Keep accurate records of grant expenditures and verifications. Assist in completing final expenditure of grant
money and produce documentation to show each transaction. Ensure accurate and timely reimbursement
requests for grants.

o Manage a zero-based budgeting process, assisting the Executive Director in the annual budget preparation for
Finance Committee and Board approval.

o Evaluate, design, implement, and maintain effective purchasing and inventory controls. Oversee centralized
purchasing function.

 

Human Resource Management

o Assist with employee on-boarding and orientation. Including preemployment background/screening processing,
I-9, direct deposit, and timecard set up.

o Ensure timely and accurate processing of bi-weekly payroll and W-2s through 3rd party provider.

o Maintain current employee compensation and benefit files as each becomes eligible for programs or raises.

o Answer all letters from government agencies related to employees.

o Maintain and keep records of child support checks, tax payments, liens, or other deductions from employee
paychecks. Keep up-to-date and accurate records on insurance benefits, 401k deductions, vacation, and sick days.

o Complete annual liability insurance audits, health benefits compliance reports, and retirement plan compliance
and filing of 5500 with the assistance of 3rd party provider.

o Facilitate training and educational opportunities for all staff members for continuous learning and professional
development.

o Guide managers in the hiring, coaching, disciplinary process, and termination of employees with the focus on
developing staff for success and risk reduction.

o Assist with ESC hearings.

o Ensure managers complete timely reviews and submit documentation for personnel files.

o Promote organizational values and shape a positive culture.

o Make recommendations to Executive Director for the Governance Committee to review or update employee
handbook policies and procedures.

 

Other

o Collaborate with Leadership team to deliver programmatic goals and objectives and the mission of Rowan Helping
Ministries.

o Perform such duties as may be assigned by the Executive Director.

 

General Requirements

o Should be able to stoop, lift up to 10 lbs. and consistently maneuver within the office area. This position will work

primarily indoors and may have repetitive motions and long periods of sitting. However, person should be mobile

to access various environments. Required to stand and walk but also must be able to sit and talk or listen. Must

be a self-starter, able to work independently, and effectively communicate verbally and in writing.

Education and Experience

o Must possess a four-year business-related degree. Must possess an excellent technical foundation in accounting

and finance and thorough knowledge of non-profit accounting principles. CPA preferred. Must have thorough

understanding of HR law and best practices. A basic understanding of other functional areas required for

operating a non-profit business. Must possess a minimum of 5 years accounting and management experience.

 

o Must be compassionate and able to work with diverse people and establish rapport with clients, volunteers, and

staff. Strong organizational and administrative skills. Be a good listener with a friendly, understanding, empathic,

and non-judgmental attitude. Dependable and works as part of a team. Able to analyze problems and identify

alternatives. Must demonstrate leadership and interpersonal skills and the ability to motivate a wide range of

people. Knowledgeable of community resources. Able to work under pressure, manage multiple priorities, and

consistently meet deadlines. Must have strong computer skills and expert in QuickBooks, Excel and payroll

systems. Able to adapt in a fast-paced environment. Must possess vehicle and valid North Carolina driver’s

license.
