Job Description

The purpose of this position is to provide administrative support the Finance and Research Unit as well as our Director of Finance and Research. This position is located in Aurora, Colorado and has the ability to work in a hybrid model. This position supports the Finance and Research Services Team with business and financial operations that serve the needs of the central administration, divisions, and overall mission of the Department of Surgery. This position will provide direct support for the Finance and Research Team by conducting front-line administrative functions including executing transactions, maintaining records, updating documents, tracking requests, and general accounting, procurement, and reporting duties.

Finance Support 75%

  • Performs data entry tasks, database management, documentation and other tasks related to organization for department systems and files.
  • Initiates financial transactions, such as journal entries (JEs), retroactive payroll expense transfers (PETs), and funding distributions changes (FDC), or other corrective adjustments, as needed.
  • Assists the Finance Team with creating and maintaining spreadsheets, forms, reports, and other essential instruments.
  • Assist with preparation of reports and materials for report out to department staff, faculty and principal investigators.
  • Retrieves information as requested, working to maintain records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Special Projects related to support of the Surgery Finance and Research Teams.
  • Performing other duties as assigned by the Finance & Accounting Program Manager and the Director of Finance.

Post Award Support 25%

  • Assists with reviewing revenues, expenditures, available balances and encumbrances and compare them to approved contracts.
  • Help with providing expense documentation as required by contract to the OGC invoicing team.
  • Help prepare and submit all journal entries and distribute funds as needed.
  • Supports maintaining reconciliation processes and communicate to the PIs.
  • Aids with developing and maintaining reporting tools to forecast funding and spending per Principal Investigator, lab, or other cohort.
  • Supports with present financial reporting to PIs during monthly meetings and advises PI on spending trends and strategic planning.
  • Assist with developing and maintaining a comprehensive calendar that includes all contract start, end and renewal dates, as well as all report submission deadlines.

Work Location:


Hybrid – this role is eligible for a hybrid schedule of 1day per week and 1 Friday a month on campus and as needed for in-person meetings.

Qualifications:


Minimum Qualifications:

Entry:

  • A bachelor’s degree in business administration, business, finance, accounting, or a directly related field from an accredited institution

Intermediate:

  • A bachelor’s degree in business administration, business, finance, accounting, or a directly related field from an accredited institution and 1 year of professional level experience.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Preferred Qualifications:

  • Experience working with University systems: Peoplesoft, M-fin reporting, CU Marketplace, InfoEd.
  • One or more years’ experience in business, research or accounting.
  • Experience using integrated accounting, purchasing and payroll system.

Anticipated Pay Range:


The starting salary range (or hiring range) for this position has been established as HIRING RANGE Entry: $43,944-$55,897

Intermediate: $47,821-$60,828

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
