Program Support:

  • Office Operations
  • Serve as point person for all incoming general phone calls and emails for the Host Homes program.
  • Prepare documents and materials for program staff and program participants.
  • Support program management and implementation by helping with administrative support such as scheduling appointments, coordinating meetings, managing calendars, and preparing reports.
  • Oversee host orientation/training by tracking their progress and providing updates for both hosts and program staff to ensure efficient enrollment while following state laws and organizational policies.

Outreach & Coordination of Hosts:

  • Prioritize inquiries and requests while troubleshooting conflicts.
  • Conduct monthly Info Meetings for host homes inquiries.
  • Collaborate with partner organizations and community resources to enhance program offerings and support services.
  • Assist in recruitment of host homes, including tabling community events, dropping off marketing materials to community partners, and talking about the program.
  • Work with Host families from inquiries through approval into the program as their point of contact for paperwork and understanding of the program.

Technical Support & Administrative Tasks:

  • Managing electronic database and hard files, maintaining records, invoicing, and billing for program needs.
  • Proofreading, formatting, and organizing program contracts/documents.
  • Creating spreadsheets, slides, and documents with Microsoft Office 365.
  • Provide online support for virtual meetings for host meetings.

General Duties:

  • Perform other incidental and related duties as required and assigned by Host Homes Director.
  • Serve as a steward of the TOGETHER! brand and understand your role in protecting and growing the reputation and results of the organization and greater network.

REQUIRED QUALIFICATIONS

  • Administrative support experience. Nonprofit experience is additionally preferred.
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including Host Homes participants, senior executives, staff, community leaders, donors, and partners.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Excellent judgment is essential.
  • Proficient in Microsoft Office including Microsoft Outlook, Word, PowerPoint, Excel, Teams and Zoom.
  • Understanding and personal commitment to equity (including social justice and inclusion), community building, and systems change values of TOGETHER!.
  • Willingness to follow agency policies and procedures.
  • A valid Washington driver’s license with a fully insurable driving record is required.

COVID-19 PROTOCOLS: Staff are asked to plan and navigate their in-person and remote work time based on personal and program needs. Many essential duties of this position require in-person work in K-12 schools and other public settings. Agency-wide protocols are in place for vaccination compliance, mask use, hand hygiene, self-screening, social distancing, remote work, possible program closures, interagency communication, and other measures. If any staff person or their cohabitant is sick, that staff person is required to follow current TOGETHER! COVID protocol which may require quarantine/not conducting any in-person work for a period of time.

Job Type: Full-time

Pay: $21.00 - $25.00 per hour
