Working closely and with direction from the Director of Operations of MomsRising Together and MomsRising Education Fund, the Operations Administrative Assistant provides support to the Operations team, with additional administrative support to the Finance, HR, and Admin team. Specific tasks are detailed below.

The Operations Administrative Assistant will report to the Director of Operations and will also work remotely with other members of the organization who are in different locations.

About the MomsRising Organizations:

MomsRising Together is a 501(c)(4) virtual organization with staff working around the country. MomsRising Education Fund is its affiliated 501(c)(3) public charity. Our core team of paid staff and volunteers work collaboratively to develop our strategies and campaigns. As virtual organizations, we use conference calls, Slack, and email extensively to communicate, create, and care for each other. Our team enjoys a results-oriented work environment where the challenges and joys of balancing work, family, and personal time are understood.

Responsibilities include:

  • Implement operations projects as a key member of the Operations Team;

  • Monitor, assign, and respond to requests in the Operations and Admin inbox;

  • Manage the Purchase Request and Travel Request backend and track approvals to ensure requests have been approved before purchases are made;

  • Assist with purchases, shipping, logistics, and printing requests;

  • Assist with internal tracking and timely payments, including Advance Volunteer Reimbursement; Stipends and travel costs, related to Fellow and high-level volunteer leadership programs;

  • Responsible for attending the following (but not limited to) meetings:

    • Weekly (OpsHelp Meetings, MomsRising All Staff Meetings, Finance Team Meeting, and Campaign Team meetings)

    • Monthly (Finance Team strategy meetings)

    • Operations meetings with Campaign teams, take notes, and track subsequent action items

  • Assist with uploading MomsRising main credit card receipts for the Finance Team month-end close;

  • Monitor voicemails and forward them to the appropriate staff;

  • Monitor incoming faxes and route them to the appropriate staff;

  • Schedule meetings for the HR, Finance and Operations team;

  • Manage the HR, Finance and Operations Slack channel;

  • Manage HR, Finance and Operations Basecamp (or files if Basecamp is discontinued);

  • Monitor the MomsRising Store inbox and act as the liaison between MomsRising and consultants;

  • Take and edit meeting notes as needed;

  • Back-up for processing invoices and stipends in Bill.com;

  • Assist with Financial Compliance;

  • Coordinate administrative or finance activities as needed, and provide back-up coverage to support the HR, Finance, Admin, and Operations team members;

  • Other Ad Hoc activities as needed.

Essential Qualifications:

You should have at least three years of relevant experience in administrative support, be a self-starter, have excellent writing skills, enjoy connecting with people online, and be a good team player. You should have strong project management and communication skills, with an attention to detail. Strong preference for some non-profit and operations experience.

We are looking for someone who is:

  • A strong self-starter with exceptional communication and organizational skills;

  • Comfortable with a virtual office. Able to communicate effectively via Slack, conference calls and email;

  • Flexible and willing to do whatever it takes to get the job done;

  • At ease with technology and proficient in Word, Excel, PowerPoint (and Google Docs), email and database management;

  • Comfortable working online, including use of social media, and able to quickly learn new applications;

  • Able to provide efficient support to the Director of Operations, keeping the Operations team organized and on task, as well as occasional support to the HR, Finance, and Admin team as needed;

  • Able to track a lot of moving parts and manage complex requests and multiple deadlines;

  • Able to maintain attention to detail while keeping the big picture in mind;

  • Able to manage sensitive and confidential information with discretion;

  • Last but not least, you should be eager to assist in empowering and engaging others in the democratic process.

Working conditions:
This is a virtual job with no physical office or incumbents will work in their own home and communicate with coworkers through technology. Hours are flexible with some evening and weekend hours required. Willingness and ability to travel periodically: to perform local tasks such as purchasing, mailing of boxes or envelopes, etc.; to meetings and events, including locations requiring air travel.

Physical requirements:

Must be able to work at a desk for blocks of time. Must be able to communicate verbally. While performing the duties of this job, the employee is regularly required to use hands to move objects/operate keyboards, reach with hands and arms, speak and hear. Ability to perform complex mental functions and concurrently manage multiple deadlines and projects. May be required to pick up and transport boxes of up to 50 pounds. Compensation and benefits:

This is a full-time, exempt position, with a salary of $45,000 to $65,000 commensurate with experience. MomsRising Together and MomsRising Education Fund provides a robust benefits package including eligibility for paid family and medical leave, medical/dental/vision coverage, generous PTO and sick time, and a 401b retirement plan with an employer contribution. The organizations cover 80% of an employee's and any dependent's medical, dental, and/or vision coverage.
