Duties and Responsibilities

Essential Duties and Responsibilities

To ensure that the District’s fixed assets are properly identified, tagged, recorded and accounted for in the District’s records.

The Property Inventory Specialist inputs inventory information into the inventory system and keeps up with messages on inventory questions. 

Conduct yearly inventory audits. To ensure that the warehouses are clean, organized, be able to lift heavy items, and be able to use a forklift.  

Conduct transfers for departments for both campuses. Dispose of damaged asses and scrap metal as approved by management.


Characteristic Duties and Responsibilities
  1. Ensure that College policies and Property Inventory procedures are followed.
  2. Ensure that the control number, description, cost location, and relevant information of the fixed assets purchased or donated to the District are recorded and tagged. 
  3. Ensure property transfers and disposal forms are accurate, have the proper authorization, and are recorded on a timely basis.
  4. Perform inventory counts of assets in departments/buildings, as assigned, and reconcile the inventory account to the fixed assets records. 
  5. Inform departments when their department is to undergo a fixed asset inventory count.
  6. Provide fixed asset listing(s) to departmental management, as requested.
  7. Utilizes the computer fixed asset software to maintain the current asset inventory.
  8. Answer phone and take messages for the Property Inventory Department.
  9. Assist with tagging new fixed assets.
  10. Responsible for disposing of obsolete damaged furniture and equipment (including disposal of scrap metal) as approved by management.
  11. Perform property inventory transfers throughout buildings/campuses as requested by departments.
  12. Coordinate and oversee the transfer of assets performed by contracted movers.
  13. Responsible for cleaning and organizing property inventory warehouses.
  14. Schedule warehouse viewing for employees and customers.
  15. Ensure that surplus item sold are organized, packaged, and/or ready in pallets for buyer pickup.
  16. Perform other related duties as required by the Property Inventory Manager.

Qualifications/Certifications/Licenses/Skills

Required:

  • High School Diploma or GED equivalency diploma.
  • One (1) year experience in an Inventory related field.
  • Valid Texas Driver's License.
Preferred:
  • Associate Degree in Applied Science with emphasis in computer operations, business, and/or accounting.
  • Experience and knowledge of Inventory environment; at a higher institution.
  • Forklift Operator.

Knowledge, Skills and Abilities

  • Be skilled in the use of personal computer with working knowledge of Banner Administrative Operating System with emphasis on the Fixed Asset Module, Excel, Microsoft Word, Outlook.
  • Be able to maintain a positive attitude toward college departments, students and employees.
  • Perform assignments with a high degree of accuracy and adhere to deadlines.

The property Inventory Clerk P/T is directly responsible to the Property Inventory Manager.


Physical Requirements 
While performing the duties of this job, the employee is regularly required to sit. 
The employee is occasionally required to stand, walk, stoop, kneel, or crouch. 
The employee must occasionally lift and/or move items weighing up to 50 pounds.

Work Environment
Work is performed in a standard office environment and in warehouses, which are non-airconditioned areas. 
Work-inside a well-lighted and air-conditioned area most of the time. 
The noise level in the work environment is usually quiet to moderate.

Take reasonable and prudent actions to prevent others from engaging in unsafe practices.
