The administrative assistant is a key team member to help make our museum the outstanding gallery and education space that it is today and plans to continue to be after opening our brand-new doors! This position will assist and work closely with Museum Director and Sculpture Curator, greet visitors when they access the admin level to meet with the Museum Director or other senior museum staff, and answer the main phone lines for both buildings, screen and route calls, providing general information to callers.
Some more about what this role will be responsible for:
-Special Events: Assist with planning meals, scheduling A/V tech, chairs, tables, etc., for evening and weekend museum events, such as exhibition receptions; breakfasts, lunch and dinner meetings. This includes staffing them to greet guests and supervise set-up and clean-up, and coordinate deliveries to both buildings. Special events could also include assisting the Museum Director with all details of the annual and spring Museum Council meetings, such as ordering the meals, refreshments, supplies, and A/V tech needs for the meetings. Staff the meetings.
-Using BuyND to order office supplies, and coffee, tea, water, etc., for museum staff break rooms in both buildings, and handle office equipment repairs, supplies, etc. Enter Maintenance requests into the campus AIM system.
-Editing: Assist the Museum Director by typing and proofing their written correspondence, and other drafts as needed. Develop and set up presentations for Director.
-Daily administrative Tasks: You will be the initial contact for all requests by other University units to hold events or programs in either museum building. Schedule the event’s A/V requests, and work with the Museum’s security coordinator and building housekeepers to schedule their assistance as needed. Additionally, you will prepare mailings to council, donors, etc., including the generation of mailing labels and preparing FedEx shipments using an online system.
-Travel Planning: Book hotel rooms and other travel arrangements as needed for the Museum Director and museum guests. They will oversee all accommodations; especially those for VIP visitors and artists visiting the museum.
Minimum Qualifications
- Must be flexible and have good people skills, a customer-service attitude, professional telephone manners, and excellent proof-reading skills.
- Must pay close attention to details and work well with a diverse group of people (museum staff, donors, volunteers, etc.).
Preferred Qualifications
- BA in Art, Art History, or English, preferred.
- Accurate typing at a minimum of 40 words a minute. Experience using Word and Excel software.
- Experience in organizing events, using various UND online systems such as, Buy ND, AiM, and TravelND, are preferred.
