Summary of Position
The “face” of the Admissions Office essential to providing a great first impression to visitors by managing the reception area. Serves as the initial contact for prospects and applicants to the university providing quality and responsive constituent service on the phone, in person, and virtually. Collaborative work managing the office e-mail box, online chat and daily phone inquiries from students/parents/staff, otherwise directing them the appropriate constituent. Event data entry and review, review of event communication, and other duties as assigned by the Admissions Programming Team to ensure events run smoothly for visitors. Provides general administrative and event support to other members of the Admissions team when needed. Supports the Tour Guide program and supervises the Student Admissions Ambassadors as determined by Admissions Manager, Campus Visit Programs.

Other minimum qualifications
- High school graduation and at least 4 years of related experience involving duties of increasing responsibility requiring discretion and independent judgment, or Associate’s Degree and two years of related experience, or a combination of higher education and related experience equal to five years.
- Advanced computer skills, including complex word processing, e-mail, spreadsheets, database management, use of search engines, keyboarding skills, and other software applications as required by hiring department/unit.
- Effective written and oral communication skills.
- Supervisory skills.
- Experience in public relations, office supervision, grant-funded programs, marketing, telecommunications or publications as specified by department.
- Organizational skills.
- Ability to establish and maintain effective working relationships with faculty, staff, students and the general public.
Additional Preferred Qualifications
- Bachelor’s degree.
- Completion of courses in related subjects at the college/university level.

Duty/Responsibility
Maintain knowledge about university majors, resources, admission processes and policies to effectively advise applicants and refer them to colleagues as needed. Collect application material and ensure its accuracy prior to sending to colleagues for processing. This includes confidential and sensitive information.
Annotate Banner with information if relevant for application review. In time, should become familiar with different applicant types, admission criteria and develop a knowledge base thorough enough to be able to assist visitors with a majority of needs they may express while on campus.
Manages the reception area of Admissions by opening and closing the office each day, restocking literature and refreshment supplies as needed. Responsible for maintaining a polished and branded look to the presentation room by coordinating with housekeeping, facilities and grounds to ensure both inside and outside Smith Hall is presentable for visitors.
Enter prospective student information in to Salesforce for any walk-ins. Responsible for checking events system daily to confirm event registration system is running correctly and information for registrants is accurate. Managing the event system includes notifying appropriate events coordinator and/or Director of Admissions, Prospective Student Experience if any issues can be foreseen with logistics such as parking, confirmation email errors or any other problems that could impact visitor experience. Tracks attendance of tour and admissions programs as well as compiles related data.
Provides support to the Campus Visit Programs team by supervising the Student Admission Ambassadors with their daily tour responsibilities and reporting to the Admissions Manager, Campus Visit Programs overseeing the Tour Guide program. Supervision of Admissions Ambassadors encompasses 20-45% of each work day depending on the season. May oversee student workers supporting reception and call center duties which would be at least 25% of the day.

Managing the office e-mail box, online chat and daily phone inquiries from students/parents/staff, otherwise directing them the appropriate constituent. Front reception duties may shift to covering phone, email and chat traffic when needed. This may result in some days including more than 50% of the time covering phone and web traffic instead of in person visits.

Supports the Admissions Office recruitment efforts by writing personalized note cards for visitors and supporting admissions counselors with their personalized outreach efforts. Personal outreach is done weekly to all of the prior week’s visitors.
May be asked to participate in calling campaigns or other strategic outreach initiatives. Providing feedback and edits to the communication team regarding printed materials as well as web content on at least a quarterly basis.
