Position Overview

As Executive Office Coordinator, you will provide valuable insight into the workings of a healthcare non-profit foundation and contribute to an integral component of PAN’s mission. Reporting to the Executive Leadership Team and Board of Directors, you provide a high level of integrity and discretion in handling confidential information, as well as professionalism in dealing with senior executives inside and outside of the company.

The ideal candidate must possess demonstrated experience in handling important executive office decisions, participating in special projects, embracing, and executing all duties as required or assigned. The candidate must have a proven ability to work with a high attention to detail, while working independently, and have excellent communication skills and command of technology and an ability to handle highly confidential information.

Using a well-versed understanding of organizational policy, you will carry out effective and efficient day-to-day operations and special projects, responding to needs and identifying opportunities for proactive engagement to perpetuate PAN’s mission.

 


Executive Support

  • Completes a broad variety of administrative tasks for the President & CEO; including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates, and ensures the President & CEO's schedule is followed.
  • Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, prepping materials in advance, and following up appropriately.
  • Arranges all travel accommodations for the CEO including to Board meetings, conferences, etc.
  • Communicates directly, and on behalf of the President & CEO, with Board members, donors, foundation staff, and others, on matters related to CEO's initiatives.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Manages executive social media accounts as needed.
  • Provides a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff. Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters or other correspondence, and other tasks that facilitate the CEO's ability to effectively lead the Foundation.
  • Prioritizes conflicting needs; by expeditiously and proactively addressing situations and ensuring follow-through on time sensitive projects to successful completion.
  • Assist President & CEO with creation of Executive Office budget and adhere to said budget through the fiscal year.
  • Work with the Human Resources department and the Executive Office to budget, plan, and facilitate staff engagement projects and activities by leading the ‘Share the Joy’ committee to promote PAN’s internal culture.

Board Support & Liaison

  • Serves as the President & CEO’s administrative liaison to the Board of Directors.
  • Manages Board activities to include coordinating Board meetings, Board dinners, and new Board member orientations.
  • Arranges hotel accommodations for Board members, processes travel reimbursement requests; and compiles, assembles, and distributes Board meeting materials.
  • Coordinates with staff committee leads for all Board Committee meetings, maintains confidential files, and contact information; coordinates meetings, conferences, and committees both on and off site.
  • Creates, distributes, and manages all Board related materials including meeting materials, required documentation, and correspondence.
  • Drafts Board agendas, documents, and resolutions; takes notes and records minutes of each Board and committee meeting.
  • Manages logistics associated with the board’s annual self-assessment survey as well as CEO performance assessment survey.
  • Maintains discretion and confidentiality in relationships with all board members.
  • Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
  • Maintains accurate record of all Board approved policies and procedures.
  • Maintains and ensures Board portal and related SharePoint site are current and regularly updated, with appropriate accessibility to Board members and leadership.
  • Collaborates as necessary with Chief Compliance and Privacy Officer on matters related to Board member conflict of interest.

Management Liaison

  • Participates as an adjunct member in leadership meetings including scheduling and attending meetings. Represents the CEO in designated meetings as required.
  • Assists in coordinating the agenda of the management team and general staff meetings. Prepares an account of the meetings and designates and follows up on assigned action items.

General Facility/Office Support

  • Assist with PAN Foundation incoming and out-going mail as needed.
  • Provide logistical support to PAN-rented space, as deemed appropriate.
  • Assist with planning PAN events and assisting with any additional internal tasks as requested.
  • Assist with logistics associated with PAN’s participation in external conferences.
  • Manage inventory of supplies (e.g., paper, office supplies, copier supplies, replacement of toner cartridges, etc.)
  • Maintain internal supply requests ensuring they are accurately filled in a timely manner.
  • Support staff meetings and internal training events as needed.
  • Provide onsite administrative support to the President & CEO as needed.

Education

  • Bachelor’s degree required.
  • Prefer major in Business Administration or equivalent.

Work Experience

  • At least 5 years of experience in providing top-level administrative support in a fast-paced, highly professional, and compliance-oriented environment.

  • Superior administrative capacity and impeccable organization to manage many projects and tasks simultaneously and to complete them with minimal oversight.
  • Expert level written and verbal communication skills.
  • Skillful execution of activities, with high attention to detail, organization, and process; ruthless prioritization.

Travel

  • Occasional travel expected - 10-15%.
