Senior Human Resources Assistant

Job Description

SENIOR HUMAN RESOURCES ASSISTANT, Human Resources-Labor Relations, to provide administrative support to the manager and assistant manager of labor relations, perform ad hoc administrative and project support duties for the director, handle complex and diverse duties for multiple projects/programs, and serve as a member of HR’s administrative team. Responsibilities include providing general administrative support for the Employee and Labor Relations and Compliance group; performing administrative duties related to union contracts (e.g., overseeing  job postings, weekly and monthly employee activity reports, and open job reports; producing Cognos and Brio reports; and responding to union inquiries about staff status, discrepancies, and dues); performing costing analyses for wage increase scenarios; maintaining familiarity with union contract provisions and making recommendations to improve administrative procedures; producing how-to documentation and gathering information for projects and subpoenas or other document requests; scheduling meetings, arranging rooms and catering as needed; and serving as backup for employee relations assistant and for administrative team as needed.  

Job Requirements:
REQUIRED: high school diploma or its equivalent; five years’ administrative office experience; excellent organizational, interpersonal, customer service, proofreading, editing, and writing skills; meticulous attention to detail; discretion and good judgment with confidential matters; ability to handle multiple tasks concurrently in a busy environment with frequent interruptions; strong reporting and analytical skills; and proficiency with MS Office (including Excel).  Seek a self-starter who demonstrates initiative in identifying and developing solutions to problems and can work independently and as a member of a team. PREFERRED:  proficiency with FileMaker Pro, SAP, Cognos, BrioQuery, and web publishing applications; knowledge of MIT accounting and online purchasing systems; and experience working with unions, negotiations, and contracts.  Job #22625-6
