Senior Administrative Assistant

Job Description

SENIOR ADMINISTRATIVE ASSISTANT, Materials Science and Engineering (DMSE), to provide complex, diverse administrative and financial support to DMSE faculty and their laboratories.  Will serve as administrative liaison for faculty and their laboratories; proactively address the operational, administrative, and financial needs of faculty and laboratory members; serve as information resource regarding MIT policies/procedures; coordinate complex event logistics; actively engage in the life of research groups; and work closely with the DMSE human resources team to process personnel transactions.  Financial duties will include providing budget and financial oversight of discretionary accounts, including reporting and recordkeeping; collaborating with the finance to team review, reconcile, and monitor faculty account statements, ensuring expenses are appropriate and documented, including collecting the necessary backup, tracking purchase orders, and processing accounting transactions; developing an understanding of the basic steps to a proposal process, e.g., differences between federal/foundation sponsors and industrial sponsor and the timelines associated with submitting a proposal; and assisting with the preparation of pre-proposal information.

Job Requirements:

REQUIRED:  high school diploma or its equivalent; five years’ experience in a professional administrative office support position; knowledge of the fundamentals of financial and account management; meticulous attention to detail; excellent administrative, organizational, customer service, interpersonal, and verbal and written communication skills; initiative; discretion with confidential information; ability to exercise good judgment, manage multiple diverse tasks simultaneously, work independently and as part of a team, and own and follow through on tasks; proficiency with SLACK, Microsoft Office (Excel, Word, PowerPoint, Outlook), and Adobe Acrobat; and ability to conduct routine website updates.  PREFERRED: experience with--or ability to quickly learn--MIT grants management procedures and SAP.  Job #22610-6

Hiring salary range: $55,000 - 75,000, depending on experience.

This is a hybrid position requiring an on-campus presence three days per week.
