Events Planner
Job Description
EVENTS PLANNER, Aeronautics and Astronautics (AeroAstro), to plan, coordinate, and manage high-level on- and off-campus events that reach wide and varied audiences within and beyond MIT; and assist a senior administrator in charge of faculty searches. Responsibilities include planning, coordinating, and implementing pre-, day-of, and post-event tasks; serving as technical and logistical resource for events and primary point of contact for speakers/participants, department members, industry contacts, vendors, etc.; evaluating, recommending, and implementing operational changes/enhancements for future programs; ensuring the timely publication and distribution of event information/materials; negotiating vendor/venue/caterer contracts and pricing; tracking and reconciling event budgets, expenses, and reimbursements; collaborating on conveying plans for event publicity and requesting and preparing collateral; disseminating invitations and promoting events; overseeing speaker- and guest-related logistics, e.g., travel, accommodations, etc.; recommending staffing needs and guiding day-of event staff/vendors; and other duties as assigned. Faculty search and other promotion/appointment responsibilities include tracking faculty candidates through acceptance and documenting the selection process; compiling and sharing relevant data; database management; and assisting with coordinating promotion and appointment process for faculty/professor of the practice/ principal and senior research scientist cases.
Job Requirements:REQUIRED: bachelor’s degree; two years’ event management experience; excellent organizational, problem-solving, interpersonal, and oral and written communication and presentation skills; self-motivation and initiative; flexibility; good judgment and tact; proficiency with MS Office, Adobe products, Atlas, Concur, and other in-house systems; and ability to identify and learn new programs/software as needed. Must be able to work both independently with minimal supervision and as part of a team; build relationships and provide excellent customer service; and multitask despite interruptions and competing demands in a pressured work environment.
