About Executive Education:
The Executive Education Center originated in Ann Arbor, MI, USA in 1935 and by the 1940’s was offering an array of courses, workshops, and conferences with an overwhelming response from corporations. Today, the Center offers more than 30 different public program offerings and an extensive portfolio of custom programs annually serving over 4,000 business executives around the world. Purpose:
The Executive Assistant will report to and provide executive-level administrative support and project management oversight to the Chief Executive Education Officer (CEEO) at the Stephen M. Ross School of Business. You will provide comprehensive professional, administrative, and project management support in a setting and requires comprehensive experience, administrative and analytical skills, and broad knowledge of organizational procedures. You will work collaboratively in a team environment, and coordinate and manage multiple projects and business processes.

 

Responsibilities*

 

Administrative Support

  • Provide advanced, diversified, and comprehensive administrative support to the CEO. Prepare, draft, edit, and finalize correspondence, including proposals, agreements, letters, memorandums of understanding, reports, presentations, meeting minutes, pre-budget summaries, or other materials.
  • Provide high-level administrative support to the Senior Management Team as directed by CEEO.
  • Bring items that need the CEEO’s immediate attention to the forefront. Follow-up on status, complaints, and requests for information from clients, faculty, and staff.
  • Manage calendars. Determine attendees at meetings and coordinate meetings, scheduling of conference rooms, preparing meeting agendas, and greeting visitors. Prepare and organize background or presentation materials and share them accordingly.
  • Schedule appropriate travel arrangements and prepare necessary travel and meeting materials.
  • Make independent decisions regarding planning, organizing, and scheduling of work in absence of CEEO.
  • Coordinate hiring and onboarding for admin and senior-level positions.
  • Prepare P-Card reconciliations and travel expense reports.
  • Manage intake and follow-up of IT-related staff requests (e.g. hardware, software, etc.).
  • Coordinate, and document all staff meetings.

Project Management

  • Be a project lead for multiple initiatives such as meetings, special events, and corporate visits, and plan, prepare, and provide oversight as determined by CEEO.
  • Take projects from original concept through completion using appropriate tools and communicate project progress to all partners with responsibility for quality control.
  • Create, manage office-wide policies, procedures, and best practices to support the oversight of important administrative processes and business documentation with Chief Operating Officer
  • Exercise discretion with confidential information related to donors and staff reporting to the CEEO.
  • You will work the team on special, nonrecurring, and ongoing projects. Be a project coordinator for special projects, as requested, which may include planning multiple presentations, disseminating information, and organizing special events. Prepare special and periodic reports on activities.

 

Required Qualifications*

 

  • Bachelor’s degree and 5 years experience in progressively responsible high-level administrative and office management positions in a corporate or academic environment, or equivalent combination of education and experience.
  • Some knowledge of project management tools and techniques.
  • Direct work experience in a project management capacity.
  • Proficiency in Microsoft Office software and other database and data retrieval, email, and calendar-keeping software and technologies.
  • 3+ years of experience coordinating complex travel arrangements and expense reconciliation.

Salary Information: The general salary range for this position is $61,000 - $67,000. Candidates can expect to be paid a competitive and equitable salary. Factors used to determine salary include experience, knowledge and skills for the position. You are encouraged to discuss salary questions to honor alignment and transparency throughout the recruiting process.
