Summary

The Engaged Learning business administration team is a small group of professionals charged with managing the administrative business processes of a set of small and medium-sized units.  As the Business Administrator you will ensure the proper daily operation of Engaged Learning, including Graham Sustainability Institute and the Global Engagement Team.  In consultation with unit heads, you will lead multiple administrative functions, including, finance, facility operations, grants and contracts administration, human resources, and policies and procedures, institutional planning and reporting requirements, and other support services.  You will oversee a business manager to support this work across the units, oversee the administrative lead in the Officer Education Programs, and potentially other administrative personnel, as assigned, within the individual units. The business administrator will be a member of the vice provost’s strategic team, will work directly with the vice provost, and have functional responsibilities to the heads of the supported units and/or their human resources and finance teams, as appropriate.  This position currently reports to the Vice Provost for Engaged Learning.  As the Office of the Provost undergoes a realignment of portfolios, the specific units with which the Business Administrator works, as well as the reporting line, may evolve.  

Responsibilities*

  • Oversee annual budget reports on endowment and general fund and gift revenues and expenditures
  • Manage budget and expenses of each department
  • Oversee transaction processing, account opening/closing, manages large purchases, and monitors funding commitments. 
  • Provide training for units’ administrative staff on budget management and accounting reconciliation, for faculty mentors in supporting student organizations and unit’s directors in managing gifts from development activities.
  • Establish temporary, student and research staff appointments, ensuring that performance evaluations and merit increases are completed and submitted in a timely manner
  • Oversee department staff. Encourage the successful performance and continuous development of staff.
  • Approve timesheets and resolve HR and payroll issues as needed.
  • Develop position descriptions and to provide support in interview and hiring processes, oversee employee training programs and carry out reviews for leadership appointments.

Required Qualifications*

  • Bachelors degree
  • 5+ years of experience overseeing financial policies, procedures and systems; or equivalent relevant experience
  • Intermediate to expert level proficiency in budgeting, financial reporting and administration of grants and contracts, preferably in a higher education environment.
  • Proficient in financial and HR management systems.
  • Experience in pre- and post-award grants and contracts management.
  • Proficient in Microsoft Office Suite (can perform complex functions in Excel),Google Collaboration tools or related software.
