Job Summary

Under minimal supervision, provide administrative and budget support to the Asst. VP of Institutional Marketing & Communication. Handle work of a highly confidential and sensitive nature. Work with and communicate with all levels of administration, faculty, and staff in all departments of the college, students, vendors and members of the SLCC Trustees, community, etc.

Manage front desk and reception duties, open and close the office each day and receive/respond/redirect all in-bound inquiries that come into the IMC department. Track/coordinate department services; keep inventory of all department assets; and manage printers and coordinate all technology purchases. Coordinate and track marketing contracts, platforms, vendor relationships, freelance pools, etc., including tracking and logging of agency and vendor projects, schedules, billing and payment receipts; and translations (English/Spanish) for printed materials for IMC department as needed. Coordination of new employee onboarding and supervision of work study students and student interns within the Institutional Marketing and Communications department as needed.
Work collaboratively with other admins within the IA division to cover duties across the division as needed; provide support for IA events as needed.

Essential Responsibilities and Duties

Support marketing department by maintaining multiple budgets including entering, tracking and reconciling all expenditures, reconciling purchasing card charges and receipts, and creating regularly scheduled and ad hoc budget-related management reports. Assist in the creation of budgets for internal project proposals and external development proposals including working with Purchasing, Food Services and other internal and external service agencies, as requested.
Assist VP of Institutional Marketing and Communication with scheduling, calendar management, meeting planning and coordination; and prioritization of activities. Carry out day-to-day activities such as responding to phone calls, greeting office visitors, problem solving for visitors and staff.
Provide lead coverage for the Institutional Marketing front desk, answering phones, taking messages, greeting visitors, etc. Collaborate with division admins and cover division administrative duties as needed.

Minimum Qualifications

Associate degree in a related field.
Three (3) years of related, paid, full-time work experience.

Trade off 1:1 Related on year work experience may be substituted to equal one year of required education.

  • Ability to function proactively with moderate supervision, working collaboratively with peers and management.
  • Strong communication and problem-solving skills.
  • Knowledge of general office procedures, accounting principles and practices.
  • Ability to work under pressure, and manage multiple projects, meeting timelines and objectives successfully. Consistently complete detail-oriented work effectively under stress.
  • Knowledge of budgets, budget reconciliation, and basic accounting. Proficient typing skills.
  • Ability to identify and adhere to budgets and timelines.
  • Ability to organize and set priorities, manage deadlines and multiple responsibilities with moderate supervision.
  • Demonstrated ability to work with and safeguard confidential information.
  • Strong professional communication skills, both written and verbal, with ability to converse and correspond professionally and comfortably with people all levels, internally and externally.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, and other software applications, including QuickBooks, graphic design and presentation programs.
  • Knowledge of Banner, LexisNexis, and other research tools.
  • Knowledge of college policies, procedures, and operations.
  • Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.
  • Ability to work with all groups in diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
