Job Description

ADMINISTRATIVE ASSISTANT I, Undergraduate Advising Center (UAC), to provide administrative support and serve as an operational hub supporting the daily operations of the UAC front desk.  Will develop general understanding of academic advising policies/procedures and respond to inquiries; assist with scheduling appointments/meetings; compose and edit basic correspondence and standard documents; prepare materials for distribution, create mail merges, and perform mass mailings; maintain databases; research and gather information for projects; assist with coordinating major events, e.g., booking rooms, ordering refreshments, coordinate AV, setup/breakdown, etc.; reconcile accounting statements, follow up on discrepancies, and maintain files; prepare purchasing/accounting forms; maintain filing systems; and update policy and procedure documents for own area. May update the UAC website, assist with budget management activities such as record keeping and data entry, and train and coordinate the work of student employees and/or temporary staff.  

Job Requirements:

REQUIRED:  high school diploma or its equivalent; at least two years’ administrative, office, or related experience; excellent organizational, customer service, interpersonal, and verbal and written communication skills; ability to work collaboratively with a diverse group of people that includes students, faculty, parents/families, staff, and administrators; ability to handle a wide variety of concurrent tasks/priorities and exercise discretion, diplomacy, and tact; meticulous attention to detail and accuracy; and excellent computer skills, including proficiency with Office 365 and Google Workspace and comfort learning new software.  PREFERRED:  associate’s/bachelor's degree; willingness to assume responsibility and be flexible in a highly fluid environment; ability to work independently and as part of a team; experience with MIT business apps, i.e., Microsoft Office, FileMaker Pro, SAPgui, Concur, Google Workspace, and Dropbox; and familiarity with website maintenance (HTML).  Job #22485-4

Hiring range: $20.00-25.00/hr. based on a 40-hour work week
