Job Summary
Responsibilities
Manages and coordinates all aspects of the program, working in conjunction with the program leadership to ensure proper completion of projects.
Responsible for most decisions regarding the actual execution of projects, and serves as the liaison between the program director, assistant directors, fellowship coordinator, fellows, medical students, and other program scholars.
Oversees trainee education programs including Core Curricular Seminars, Research in Progress, Journal Clubs, and other trainee enrichment programs.
Works with fellows/trainees, training grant PI’s and faculty instructors to develop and write grant and other research proposals.
Researches new avenues for funding, research, and grant opportunities for trainees. Ensures that notices of relevant opportunities are brought to trainees’ attention and supports trainees’ grant applications.
Supports the Advisory Committees that provide oversight for our NCI funded training grants, which has been invaluable in past funding cycles and is now required by the NIH. For example, we designed each training program to include an Executive/Selection Committee (EC), whose role is to assist the Program Directors in ensuring the smooth day-to-day operation of the program through immediate oversight of the four principal elements of training in the program and the annual selection of scholars and an Internal Advisory Committee (IAC), whose role is to provide program oversight and evaluation. The External Advisory Committee (EAC) serves to provide an external review of the program.
Prepares summaries of grants for training grant Principal Investigators, meets with them, and responds to their questions. Coordinates with other departments/units/divisions regarding training grants. Serves as department contact for annual audits and agency site visits.
Communicates with the Office of Graduate and Postdoctoral Affairs to ensure trainee tuition and fees are appropriately allocated to awards as needed.
Facilitates, manages, and oversees interdepartmental coordination and communications with corresponding departments for grant requirements.
Prepares content for scientific conferences, presentations, and multiple audiences; including assembling and organizing data into text and figures for scientific presentations, publications, grant applications, reports, newsletters, and websites.
Supports evaluation of research training conducted at both the current trainee level and at the post-graduate level through administration of regular programmatic survey-based feedback tools (e.g., surveys). The aims of these evaluations are: (1) to assess trainee satisfaction with the program and mentors; (2) to assess areas of programmatic weaknesses or unmet/desired needs on the part of trainees; and (3) to assess relevant short- and long-term outcomes related to participation in this program.
Manages requirements of the training program, including accreditation, duty schedules, evaluation process, resident/fellowship recruitment, Match process, orientation and employees relations.
Reports and ensures compliance with procedures regarding licensing, moonlighting, annual contracts, and initial and re-credentialing of trainees.
Performs other related work as needed.

Experience:

Prior experience with education programs, NRSA or other grant submissions or research administration, and/or scientific writing.
Previous experience working in an Academic Medical Center environment.
