Job Description SummaryThe Advanced Education in General Dentistry (AEGD) Manager will ensure smooth operation of the AEGD Clinic/Program within the Department of Preventive & Restorative Sciences at Penn Dental Medicine (PDM). Reporting to the Director for AEGD, this position will work closely with the AEGD Administrative Assistant to provide administrative and academic support for this clinic and its students, staff, and faculty members.

Administer the overall operational management of the clinic; including, but not limited to: registration and scheduling of patients. In partnership with Patient Financial Services, ensures an accurate, efficient patient lifecycle beginning with initial appointment and collection of data, followed by subsequent appointments and treatment plans, through billing and final payment. Manage the inventory of clinic supplies and the process by which items are ordered. In collaboration with the Director, Division Chief, and Administrative Manager of Department, Manager will review, monitor, evaluate, and justify department budget expenditures and revenue. Lead, manage and oversee clinic staff.
Coordinate effective, efficient AEGD resident and student schedules (rotations) in partnership with clinic faculty. Develops, schedules, and maintains department’s operational calendar for postdoctoral program. Communicate curriculum information (grading, evals, etc) between students and course leads, as related to clinic initiatives. Schedule postdoctoral learning opportunities, in-services, and specialty training for post graduate residents.
Provide leadership and communication regarding University/School/Department/clinical/patient-related information to clinic staff, faculty, residents and predoctoral students. In close collaboration with School and clinic leadership, develop processes/workflows for operations as needed. Oversee compliance with University, School, Departmental and clinical policies. Serve as key administrator in the clinic for all infection control and OSHA regulations and issues by working closely with PDM’s Office of Clinical Affairs. Ensure that all staff is HIPAA and AACO compliant.
Serve as primary focal point in monitoring and managing equipment repairs, acting as liaison between manufactures, vendors, sales representatives, and Clinic Director.
Coordinate postdoctoral program applicant with assistance from AEGD Administrative Assistant. Manage interviews and provide administrative support. Coordinate and organize orientation for incoming fellows and scholars.
Perform other duties as assigned by Director/Division Chief/Administrative Manager
Bachelor’s degree and 2-3 years of managing a dental clinic or an equivalent combination of education and experience is required
Knowledge of safety regulations and compliance standards
Strong, proven leadership skills
Experience in AXIUM and higher education preferred
Effective organizational and computer skills involving Qualtrics, Smartsheet and Excel preferred
Experience and commitment to diversity, equity and inclusion

Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
