Administrative Assistant II, Regional Entrepreneurship Acceleration Program (MIT REAP)
Job Description
ADMINISTRATIVE ASSISTANT II, MIT REGIONAL ENTREPRENEURSHIP ACCELERATION PROGRAM (MIT REAP), Sloan School of Management-Office of Global Programs, to provide administrative support to MIT REAP director and programs. Will monitor entire calendar and identify and mitigate conflicts; Schedule meetings across all faculty, staff, and teams; schedule all travel, including flights, accommodations, and transport; submit all travel receipts and reimbursements and manage overall travel processing; process requisition creation and approvals; coordinate delegations/major visits, including agenda setting, attendees, catering, room reservation, etc.; provide administrative support during workshops, e.g., name tags, registration, etc.; coordinate all action phase calls for MIT REAP teams across all cohorts (~20-25 teams) with faculty administrative assistants and MIT REAP staff; maintain rosters for both Alumni and MIT REAP teams; and maintain contact information in CRM database, SPD, and email marketing client.

REQUIRED: high school diploma or its equivalent; at least three years’ administrative or office experience; meticulous attention to detail; good judgment with confidential information; excellent proofreading and English spelling and grammar skills; strong computer and technical skills, including with MS Office, Adobe Suite, WordPress, Monday.com, Slack, and Pipedrive; ability to learn new programs quickly; and strong organizational, interpersonal, and cross-cultural communication skills. Must be able to multitask, prioritize, and meet deadlines with minimal supervision in a highly visible position in a fast-paced setting; adapt to rapidly changing priorities; work with multiple stakeholders concurrently; communicate effectively, both verbally and in writing; follow and/or improve upon processes; work effectively in a fast-paced and rapidly changing work environment; work autonomously; and move objects weighing u to 30lbs.
