About the Role:

Under the general supervision of the Director of Scientific Programs, the Science Program Manager will manage the day-to-day operations of specific science related initiatives within Janelia’s Conference and Seminar Programs. These programs bring together scientists both internally and from around the world to share and discuss groundbreaking research on a variety of topics. This position is within Janelia’s Science and Training group, which creates and manages a range of dynamic and innovative scientific programs and activities that foster collaborations, intellectual interactions, and a culture of leadership development.

What You’ll Do:

  • Provide scientific and operational oversight and support for a variety of Janelia-hosted scientific seminar series, conferences, and workshops.

  • Work with scientific organizers and others to develop conference/workshop topics and goals, and to identify invited speakers.

  • Develop creative formats that meet the unique goals of each event.

  • Serve as the primary point of contact and disseminate key conference and seminar-related details at precise times during the planning process.

  • Maintain accurate and up-to-date records in the conference management database.

  • Host and actively facilitate various seminar series, both in-person and virtually.

  • Work with communications/outreach team members to strategically advertise and promote conferences, workshops, and seminars.

  • Serve as the onsite host during conferences and seminars from start to finish, ensuring logistical execution and actively liaising with scientific organizers and participants to ensure optimal outcomes.

  • Collect and evaluate feedback on events and contribute ideas and efforts to improve program quality in furtherance of Janelia’s overall mission.

  • Lead tours of the Janelia campus for conference/workshop participants and other guests.

What You Bring:

  • PhD degree in a scientific subject area relevant to Janelia’s research is required.

  • Two or more years of postdoctoral research experience OR five or more years of experience with scientific program administration.

  • Excellent judgment, attention to detail and discretion are required.

  • Ability to think several steps ahead, working through possible scenarios and anticipating issues and outcomes, and adjust plans accordingly.

  • Demonstrated ability to efficiently handle multiple concurrent tasks, projects, and priorities.

  • Excellent written and verbal communication skills, including the ability to express ideas and solutions clearly and concisely.

  • Strong computer skills; comfort and proficiency in working with Macs.

  • Excellent interpersonal skills with the ability to communicate effectively with various levels of end-users including senior management, scientists, operations staff, and vendors.

Physical Requirements

Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).
