Summary of Position

Provide program support to academic programs, program recruitment, research, and outreach activities both within the College of Engineering and Physical Sciences (CEPS) ocean engineering program and the School of Marine Science and Ocean Engineering (SMSOE). The position will: Manage student records including providing advising support for faculty and students; Create and prepare documents, such as agendas, presentations, reports, correspondence, curriculum/course materials, and online resources; Lead or assist with engagement and recruitment events on campus; Work with program coordinators to maintain and update the website; Coordinate marine lab facilities use and manage billing process for facilities use. Perform other duties as assigned.

Other minimum qualifications

  • High School graduation and four years of related experience involving duties of increasing responsibility requiring discretion and independent judgement, or Associate’s Degree and two years of related experience, or a combination of higher education and related experience equal to four years.
  • Computer skills including working knowledge of Office 365 products, word processing, email, spreadsheets, database management, use of search engines, keyboarding skills, and other software applications as required.
  • Effective written and oral communication skills.
  • Organizational skills
  • Ability to establish and maintain effective working relationships with faculty, staff, students and the general public.

  • Other credentials related to core responsibilities.

  • Experience with the following programs: Banner, Webi, , Canvas, Extender, Drupal. Experience with social media to include Facebook, Instagram, Twitter and LinkedIn.

Duty/Responsibility

Academic Responsibilities:
  • Support the Center Director, Coordinator, faculty and students on all academic and administrative matters.
  • In collaboration with Center Director and Coordinator, plan and coordinate time and room schedule for department.
  • Adhere to legal requirements and regulations, such as HIPAA and FERPA, maintain confidentiality and discretion in using and conveying information of a sensitive and/or confidential nature, as assigned.
  • Perform complex tasks including department processing of undergraduate and graduate applications.
  • Maintain, process, and update student records, database, catalog, exam, and course evaluations of teaching.
  • Coordinate routing and approval of course approval form requests.
  • Serve as liaison between OE/SMSOE and the registrar’s office, and graduate school.
  • Support accreditation and promotion and tenure processes.
  • Administrative support for on-boarding of adjuncts, new faculty, work study, undergraduate and graduate students.
  • Schedule OE/SMSOE classroom and conference room space.
  • Attend to details of course/lab related time conflicts and course schedule changes.
  • Manage student course registration and enrollments.
  • Monitor major counts and course enrollments.
  • Obtain related WEBI and Banner reports.

Duty/Responsibility

General:
  • Responsible for maintaining and updating facilities and vessel calendars. Manage the facilities and vessel reservation system and process all billing for facilities and vessel use. Maintain systems to track facilities and vessel use and provide yearly reports of usage.
  • Point of contact for facilities related issues. Ensure center rooms are tidy each day. Work directly with UNH Registrar’s Office to make necessary changes to time and room schedule.
  • Manage building and lab access using UNH provided programs.
  • Assist with departmental/office business functions such as making purchases, operating office equipment, ordering and maintaining office inventory and supplies. Perform related duties and special administrative projects as assigned.
  • Compile, compose, prepare, edit, and update documents and center/school records and electronic files (e.g., reports, documents, spreadsheets, surveys, mailings, materials, packets, brochures and handbooks). Record and prepare meeting minutes.
  • Utilize on-line platforms and databases for maintaining current records (e.g., Banner, SharePoint, etc.).
  • Act as department receptionist answering general and program specific inquiries, routing calls and electronic mail as appropriate and according to department procedures, utilizing organizational familiarity and necessary discretion. Distribution and/or coordination of incoming and outgoing, on and off campus mail and packages.
  • Assist faculty, staff, and graduate students as needed with office equipment, computers and audio visual equipment.
  • Assist with hiring, scheduling, and training student workers.

Duty/Responsibility

Fiscal:
  • Assist program with coordinating and processing of fiscal business functions with the Finance Office.
  • Perform budget report reading. Review balances and expenditures with center director. Report to and work with finance to resolve financial discrepancies.
  • Submit documents with approvals, required supporting information, and accounting information.
  • Create update and maintain spreadsheets of department fiscal operation.
  • Invoicing –
  • Manage monthly invoices for the use of UNH marine facilities, vessels, and vehicles.
  • Process monthly utility invoices.

Duty/Responsibility

Maintain confidentiality in communicating and preparing sensitive information and in handling confidential materials such as departmental records and files, personnel actions, grade reports, promotion and tenure decisions.

Commications/Events:
  • Work closely with Center Director to organize Executive Committee and Faculty meetings. Attend meetings, acting as scribe during meetings.
  • Coordinate and/or assist with center/school events such department meetings, seminars, banquets, open houses/facility tours, Ocean Discovery Day, Graduate Research Symposium, etc. Update and maintain the center/school event calendars.
  • Compile weekly announcements.
  • Maintain center/school distribution lists.
  • Perform website updates, review websites regularly and make recommendations for new content.
  • Manage Carousel Digital Signage, creating content, and keeping content current.
  • Compile or assist with social media posts.
