Position Summary/Purpose of Position:

This position will be evaluated on meeting broad program objectives and goals and will be granted wide latitude for independent judgement, decision making, and problem solving. The position serves as a Records & Registration Specialist, responsible for maintaining accurate student records. The specialist is part of a cross-functional team providing a high level of academic support services to a variety of populations, including: students, advisors, and administrative offices (e.g. Student Financial Services, Undergraduate Admissions, Office of Extended Studies, etc.) to resolve registration, waitlist, billing, and grading questions and concerns. The incumbent must be able to analyze situations, facts, and information from a wide variety of sources to serve various constituents and must be able to utilize specific knowledge of related regulations to interpret and clarify policies and procedures which impact student records. The position is responsible for managing registration and record keeping for special population(s) as assigned (e.g. DC Consortium, Inter Institutional, ROTC, etc.), regularly handle confidential and sensitive student records and academic performance information, and is responsible for creating and updating process documentation. The incumbent must be detail-oriented and have excellent customer relations skills, and be dedicated to providing consistent, high-quality service to meet operational needs. The specialist reviews and recommends enhancements to the Office’s web services and applications, and understands the relationship of such systems to the university’s student information system.

Minimum Qualifications:

Education:
  • Bachelor’s degree from an accredited institution, or equivalent combination of education, training or experience may be substituted for education on a year-for-year basis.

Experience:
  • Two years’ experience in related customer service, preferably in a higher education institution. 
  • Experience working on a records management system and interpreting, explaining, and operationalizing policies.

Knowledge, Skills, and Abilities:
  • General knowledge of higher education required.
  • Excellent communication (in-person, telephone, and writing), interpersonal, organizational, and negotiation skills are required to interact with various university constituents. 
  • Ability to prioritize and manage multiple activities and deadlines simultaneously, with exceptional attention to detail, accuracy, and follow-up. 
  • Ability to gather and summarize information from multiple sources, and to compose a wide variety of written correspondence. 
  • Demonstrated sensitivity and discretion in handling matters affecting students, parents, faculty, advisors, administrators, and community members. 
  • Ability to maintain confidentiality of information obtained, and be able to perform the duties of the position in compliance with all requirements, regulations and laws, particularly the Family Educational Rights and Privacy Act (FERPA). 
  • Ability to analyze situations and facts from a variety of sources to exercise creativity and independent judgment in resolving conflicts or suggesting solutions to problems. 
  • Ability to assist in the evaluation and analysis of programs and procedures and recommend improvements and enhancements.
  • Ability to plan, organize, prioritize, and execute complicated assignments on a continual basis with minimal assistance, supervision, and instruction. 
  • Demonstrated self-motivation and personal skills necessary to interact with constituents and co-workers in a professional and courteous manner. 
  • Ability to work independently and on a team. Ability to compute a variety of numerical data.

Additional Information:

Salary: $49,600 – $62,000
