Job Summary

Receives predetermined work assignments that are subject to a moderate level of control and review. Directs subordinates to complete assignments using established guidelines, procedures, and policies. Works on issues of limited scope. Requires full knowledge of own area of functional responsibility.

The incumbent will train and supervise 4-6 administrative support positions in the Departments of Anatomy and Microbiology & Immunology and the Hooper Foundation.  This position will also provide finance support to the Finance Manager and computer server support to the IT Manager.

This position will require 2 days per week on-site at the Parnassus Campus with the ability to work remotely the remaining 3 days.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Department of Microbiology & Immunology is a basic science department within the School of Medicine that performs scientific research, training and teaching at Mission Bay and Parnassus Heights. Research in the department focuses on areas related to infectious diseases, immunology, and cancer. Our department also provides advanced research training to postdoctoral fellows and graduate students working towards their Ph.D. degrees.

The Department of Anatomy is a basic science department within the School of Medicine that performs scientific research, training and teaching. The Department includes 15 faculty members with primary full-time appointments, 15 faculty with joint appointments, and 50+ postdoctoral fellows and students engaged in research that covers questions in cell biology, developmental biology and the neurosciences. Faculty have laboratories at both the Parnassus Heights campus, where there is a focus of interest in cancer biology, and at the Mission Bay campus, where many of the neurobiology faculty are located. The administrative office of the Department is located at the Parnassus Heights campus. Anatomy faculty and staff are committed to building a diverse community that is welcoming and supportive, one that will nurture education and research.

The G.W. Hooper Research Foundation is an organized research unit within the Department of Microbiology & Immunology. We perform scientific research and training at Parnassus Heights.

The Parker Institute housed within the Department of Microbiology and Immunology includes six centers – UCSF, Memorial Sloan Kettering Cancer Center, Stanford Medicine, UCLA, the University of Pennsylvania and The University of Texas MD Anderson Cancer Center. The Parker Institute’s goal is to accelerate the development of breakthrough immune therapies capable of turning cancer into a curable disease by ensuring the coordination and collaboration of the field’s top researchers and quickly translating their findings into patient treatments.


Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training.
  • 5-7 years relevant progressive experience including supervisory/lead duties
  • Working knowledge of the organization's processes and procedures, rules and regulations.
  • Working knowledge of common organization-specific and other computer application programs.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others.
  • Skills to evaluate issues and identify resolutions.
  • Strong service orientation with the ability to effectively manage multiple priorities.
  • Attention to details; organizational skills, ability to multi-task
  • Skill in managing sensitive and confidential information regarding Department issues.
  • Ability to understand, learn and operationally utilize Information Technology systems such as MyCores, Bearbuy, MyExpense, HBS, MyReports, Connexxus, Peoplesoft
  • Must be a team player and thrive in a collaborative environment with excellent organizational, analytical, and problem-solving skills. Ability to work independently and with a team, demonstrate initiative, prioritize assignments, meet deadlines and problem solve on an ongoing basis, including identifying obstacles and processing problems and recommending solutions. Must be detail-oriented and have the ability to multi-task on an ongoing basis to complete routine-to-complex assignments
