Job Summary

Reporting to the Chancellor, the Assistant to the Chancellor serves as the liaison for incoming requests, coordinating with, and on behalf of the Chancellor. The incumbent liaises with the Chancellor’s Cabinet on a variety of administrative and institutional priorities and supports the Chancellor in following up on Cabinet level action items. The position oversees the administrative, operational, and budgetary functions of the Office of the Chancellor and serves as a liaison to a variety of internal and external constituencies.

Primary Duties and Responsibilities

Essential Performance Requirements*
  • Uses project management-related processes to assist the Chancellor with oversight and execution of strategic planning projects frequently involving senior administrators of the college
  • Leads in managing the Chancellor’s rapidly changing and complex calendar
  • Partners with office team to ensure the Chancellor’s schedule reflects desired level of engagement and visibility
  • Proactively ensures a seamless coordination of the work of the Chancellor’s Office; relies on accurate, responsive, and collaborative communication with multiple stakeholders
  • Ensures a timely and accurate exchange of information on behalf of the Chancellor
  • Prepare reports, presentations, talking points, and other materials as needed
  • Safeguards the confidentiality of the institution and exercises appropriate discretion in handling matters, records, and information of a confidential nature
  • Responds to inquiries as delegated by the Chancellor
  • Builds relationships with faculty and staff for effective responsiveness to evolving issues
  • Provides support for Chancellor team meetings and activities, which may include developing agendas and performing follow up on action items
  • Coordinates assessment, evaluation, and institutional effectiveness activities on behalf of the Chancellor
  • Uses Microsoft Office programs and project management tools at a high level of functionality to support the Office of the Chancellor
  • Attends board, cabinet, and special meetings (as assigned)

General Supervision and Management
  • Responsible for personnel management, evaluation, and development of assigned administrative support
  • Oversees administrative, operational, and budget functions of the Office of the Chancellor

Service Excellence
  • Participates on behalf of the College in external community organizations and associations as assigned to support the essential performance requirements
  • Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the worksite
  • Completes all required training and professional development sessions sponsored through Tarrant County College (TCC)
  • Supports the values of the College: diversity, teaching excellence, student success, innovation, and creativity and service to the College
  • Supports the mission, values and 3 goals and 8 principles of the College

Supervision
Works under the general supervision of the Chancellor

Required Minimum Qualifications

  • Master’s Degree from a regionally accredited college or university
  • Five (5) years’ working experience related to the Essential Performance Requirements
  • Three (3) years’ experience supervising (e.g., managing, evaluating the performance of others)

Preferred Qualifications

  • Doctoral Degree from a regionally accredited college or university
  • Experience working with higher education executives at an academic institution

Knowledge, Skills and Abilities

  • Skilled in oral, written, and interpersonal communication at the excellent level
  • Skilled in project management leadership at the exceptional level
  • Skilled with Microsoft Office word processing, spreadsheet, presentation, and database software
  • Ability to coordinate complex projects with Trustees, Cabinet Members, and College Stakeholders
  • Ability to define problems, collect data, establish facts, and propose solutions
  • Ability to make independent judgments and discretion in dealing with senior administration
  • Ability to handle a large variety of details and to work with all levels of the College
  • Ability to coordinate office detail in conjunction with policies and procedures
  • Ability to handle highly confidential and sensitive materials and situations
  • Ability to work independently, prioritize work, and independently manage multiple and competing priorities while meeting deadlines
