Position Overview

Inclusive Action is seeking an Executive Assistant to assist the Executive Director in facilitating the operations of the organization and ensuring that they are connected and adding value to the organization’s team members and the communities that Inclusive Action serves. This position would also play a role in easing the administrative burden on the Leadership Team (Deputy Director, Lending Director, Operations and Finance Director, Policy Director) as is possible and necessary.

The Executive Assistant is passionate about providing high-level administrative support to ensure leadership can efficiently accomplish key tasks and execute on organizational priorities. This team member will monitor all of the Executive Director’s priorities and communications, keeping them organized and readily accessible. The Executive Assistant will have a strong ability to prioritize tasks, and help address the most important issues in a timely manner.

The Executive Assistant will also have strong customer service skills that help the Executive Director manage professional contacts, office visitors and support in maintaining authentic relationships with stakeholders that the organization prioritizes.


This team member will be responsible for:

  • Effectively managing the calendar of the Executive Director, processing all correspondence to or from the Executive Director as well as opening and prioritizing all incoming information;

  • Assisting the Executive Director as a liaison with the Board of Directors: coordinating agendas, collecting and posting supporting documents, and organizing monthly meetings;

  • Assisting the Leadership Team in maintaining regular external and internal communication throughout the organization;

  • Maintaining records and files including those of a confidential nature. Performs confidential services as requested;

  • Managing data entry, databases and other relevant data information related to the activities of the Executive Director;

  • Preparing correspondence and meeting agendas with or without dictation. Records minutes for meetings, as required;

  • Organizing meetings with internal and external partners, helping with conferences, preparing meeting rooms, audio/visual equipment, and materials;

  • Arranging business travel and completing expense reports; and,

  • Supporting the Deputy Director and other Leadership Team members with other duties and projects as assigned.

Ideal candidates will have the following qualifications:

  • Bachelor's Degree preferred;

  • A minimum of 5 years office experience, preferably as an executive or office assistant;

  • Must be proficient with Microsoft Office, Word, and Excel;

  • Must be proficient with the full Google Suite;

  • Highly organized and self-motivated;

  • Spanish speaking preferred but not required;

  • Excellent verbal and written communication skills;

  • Excellent problem-solving skills and high attention to detail capabilities;

  • Excellent time management skills, and ability to prioritize tasks;

  • High level of integrity; ability to handle confidential and sensitive information with discretion;

  • Experience providing excellent customer service; and,

  • Demonstrates ability to take initiative, anticipate needs and exercise independent/sound judgment.


Compensation

Inclusive Action for the City offers a competitive salary and benefits package. The salary range for this position is $65,000- $80,000 DOE. The position also offers full medical, dental, and vision benefits, a 401k retirement plan with 3% matching after one year of service, 18 paid holidays, and up to two weeks of paid vacation a year with an opportunity to accrue more after serving two years with the organization.

Impact of COVID-19 on Inclusive Action
Currently the Inclusive Action team is working in person at the office 40% of the time and remotely 60% of the time until further notice and all employees must be vaccinated against COVID-19. The physical office is located in Boyle Heights and is available for necessary in-person appointments as well as optional work space. All applicants are expected to live in Los Angeles County.
