Job Description:
PROGRAM RESPONSIBILITIES
  • Provide all program support including, facilitating the process of out-of-cohort student schedules, program changes, course transfers, course substitutions, interviewing candidates as needed, collect and analyze program data, and coordinating exit exams.
  • Provide overall administrative support including processing invoices, purchasing merchandise and other items, maintenance of records, manuals and documents, and provide research support as necessary.
  • Provide exemplary customer service to students, guests, current and prospective stakeholders, PLNU faculty and staff, and communicate program information, historical facts, event details, and other resources while directly and/or indirectly communicating the mission, vision and values of the FSB.
  • Monitor all online/hybrid courses as scheduled each semester or quad.
  • Ensure all course grades are submitted by required deadlines.
  • Assist in the proposal of and the analysis of the budget by ensuring expenditures are within budgetary allocation and with the preparation of budget vs. actual reports.
  • Manage social media sites.
  • Support Admissions by providing exception students with modules (e.g. Excel and APA), and track student progress.
  • Provide logistical planning and organization for courses and meetings held at all campuses, including key distribution and tracking and faculty parking passes.
  • Coordinate the planning and implementation of events and activities, including career services events and activities, student orientation, graduation breakfast, and social events.
  • Coordinate with MBA regarding professional and extracurricular events, including Executive Networking Events (ENE), corporate visits and workshops.
  • Attend program and FSB functions as requested, including information sessions, orientations, professional and extracurricular student events, and FSB meetings.
  • Attend the FSB Undergraduate Committee meetings.
  • Support in the preparation of GESC proposals.
  • Review and suggest edits to the BBA portion of the GPS catalog and website.
  • Schedule alumni committee meetings and manage meeting minutes. Assist the alumni committee members in planning and implementing alumni events and social events.
    • Assist in the proofreading and distributing alumni communications.
    • Act as a liaison for board members.
    • Manage and update current and alumni distribution lists and databases.
 
  • Assist with Student of the Year and Delta Mu Delta process.
  • Provide faculty support as required.
  • Other duties as required.
 
FERMANIAN SCHOOL OF BUSINESS RESPONSIBILITIES
  • Support assessment process across programs and facilitate data collection as needed.
  • Support the annual update of the FSB Policies and Procedures manual.
  • Support scheduling of courses each semester or quad.
  • Provide digital marketing materials for events and activities
  • Support for Main Campus front desk and backup for Mission Valley.
  • Provide FSB faculty support as required.
  • Provide FSB Career Services support as required.
  • Special projects as assigned.
  • Other duties as required.
 
QUALIFICATIONS
  • Two years of administrative experience, including core competencies in Outlook, Word, Excel and PowerPoint preferred.
  • Undergraduate degree preferred.
  • Excellent writing and communications skills. Ability to compose correspondence using correct English, spelling, grammar, punctuation, syntax, format and etiquette.
  • Demonstrated skill in working with diverse populations.
  • A positive attitude and professional work ethic. Strong interpersonal and customer service skills. Team player.
  • Accuracy and a strong attention to detail.
  • Ability to multitask and work in an environment of frequent interruptions.
  • Ability to work proactively. Excellent time management skills. Ability to work through projects until completion, providing feedback and communication with Assistant Director and Associate Dean as appropriate.
  • Social media skills preferred.
  • Graphic design skills a plus.
  • Ability to travel between multiple educational sites.

PHYSICAL REQUIREMENTS
The work is primarily sedentary and may require sitting for extended periods of time. Use of computer equipment: computer keyboard, mouse, and monitor. Vision to read documents, e-mail and other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone. Will also stand, stoop, push, pull, and lift up to 10 lbs throughout the day.
