Summary of Position

The Executive Assistant to the Dean of Paul College serves as the liaison between the Dean, faculty, staff, students, alumni, and business partners. Under the direction of the dean, the Executive Assistant provides expertise on all processes related to maintaining the dean’s calendar, event coordinating, timely communication, maintaining confidentiality, supporting donor and key stakeholder relations, project management, budget and fiscal management, and prioritizing requests directed toward the dean.

The role requires, above all, extremely high organizational aptitude; the ability to keep the dean informed and on track; a cool head under pressure; and the intellectual capacity to understand the broader vision of the dean’s office and its goals, both immediate and long-term.

  • Bachelor’s degree and/or 4 years of office support experience of increasing responsibility or combination of experience, specialized training, and higher education equal to six years.
  • Comprehensive knowledge of office procedures and practices, and management/administrative principles, practices, methods, and techniques.
  • Ability to establish and maintain effective working relationships with UNH and PAUL administrators, faculty, staff, students, alumni, legislators, and key external stakeholders.
  • Ability to work effectively and efficiently, both independently and as a team player, in a fast- paced professional environment.
  • Excellent written and oral communication skills.
  • Excellent organizational and analytical skills.
  • High degree of personal discretion, diplomacy, and judgment. Tact and skill in dealing with others.
  • Comprehensive computer skills including but not limited to MS Office suite: Outlook, Excel, PowerPoint, SharePoint, and Word.
  • Excellent interpersonal skills and ability to effectively perceive and appropriately triage requests for the Dean’s time/attention.
  • Budget/financial accounting and record keeping experience using excel.

Additional Preferred Qualifications

  • Ten plus years of administrative experience demonstrating promotion with increasing levels of responsibility preferred.
  • Experience in higher education and familiarity with academic roles, rules, policies, procedures, and faculty issues.
  • Advanced computer skills including videoconferencing applications, UNH and external data acquisition and analysis applications.
  • Strong analytical/problem-solving skills using sound judgment within policy parameters.

Duty/Responsibility

Dean’s Liaison
Act as a key liaison for the Dean with department chairs, faculty committees, staff leadership, staff, and faculty.
  • Maintain and disseminate accurate faculty committee membership rosters, and liaise with committee chairs to ensure that vacancies are promptly filled, committee meetings scheduled, agendas set and approved, minutes shared, etc.
  • Support dean in developing agendas for executive committee and faculty meetings, and ensuring minimum quorums, accurate minutes, and organized archiving of committee minutes and decisions.
  • Act as a key liaison for the Dean and members of the Dean’s Advisory Board, and other external stakeholders.
  • Initiate and monitor confidential college-wide elections for faculty leadership roles and similar processes. Implement, oversee, and ensure conformity for all college employee records and their appropriate accessibility.
  • Work closely with staff leaders to ensure effective operations and coordination of assignments within the college, consistent with the overarching Dean’s Office objectives and activities.
  • Other duties as assigned.

Duty/Responsibility

Support Deans’ Strategic Initiatives
  • Work directly with the Dean and Associate Deans to communicate and help implement policies and effective practices of current programs and to facilitate changes to promote new initiatives.
  • Understand the Dean’s strategic goals and priorities in order to prioritize issues according to urgency and follow up on activities to assure timely follow-through and completion of projects.
  • Exercise independent judgment to manage priorities and determine which matters require the Dean’s immediate attention.
  • Provide procedural information and work with department chairs and business managers to identify, develop, and apply best practices in academic administration across the College.
  • Manage Dean’s schedule, travel, and appointments consistent with overall strategic priorities.

Duty/Responsibility

Accounts Management
  • Work collaboratively with fiscal team and UNH Foundation to manage Dean’s gift fund accounts by analyzing monthly reports for accuracy in revenues and expenditures. Provide the Dean with monthly updates on trends and balances. Work with faculty and staff to ensure timely and accurate documentation of gift fund usage.
  • Manage databases, and prepare background documents, reports, forms, and other materials as required.
  • Provide accurate data and support to the deans and department chairs toward the college’s strategic planning and implementation.
