Job Description:

GENERAL STATEMENT OF RESPONSIBILITIES:

The Payroll and Human Resources Assistant provides support to Payroll and Human Resources including the processing and maintenance of College payrolls, related payroll reporting functions, recruitment efforts, and general personnel matters. Assists the public, new hires, existing employees, and others by answering inquiries about various programs, services, policies, and procedures while maintaining strict confidentiality of all information and records.

Although this and other assignments within Human Resources require operation in an in-person modality for the majority the work schedule, some degree of remote work may be incorporated.

 

EXAMPLES OF DUTIES:

  • Assist with the preparation, processing, and monitoring of all College payrolls, using PeopleSoft - Human Resource/Compensation Management System (HR/CMS).
  • Assist Payroll Manager with payroll processing, including data entry for new hires, entering time and attendance for specific populations, ensuring the accurate processing of part-time and work-study payroll applying exceptional attention to detail.
  • Responsible for working closely with HR Assistant in the accurate processing of the adjunct payroll, properly calculating, adjusting, and reconciling payroll records and reporting payroll to the State Comptroller's Office.
  • Assist with administration of employee benefits, including health, dental, life, and long-term disability insurance, Health Care Spending Account and Dependent Care Assistance program, including, as needed, review of such benefits with new hires for New Employee Orientation.
  • Respond to employee inquiries regarding payroll, benefits, and retirement matters in cooperation with the Payroll Manager, including review of employee payroll and personnel records observing and implementing required protocols to safeguard employee information.
  • Compile data and assist with the preparation of reports and/or documents relative to various budgetary, staffing and collective bargaining matters and assist with payroll reports as required for state and federal agencies including Board of Higher Education and U.S. Department of Education.
  • Assist with the planning and coordination of employee benefit and retirement seminars as well as other HR sponsored events such as employee professional development /training programs.
  • Participate in various payroll user group meetings and in related training and information meetings to develop/update knowledge of College and State payroll processing standards.
  • Collect information and generate reports, eligibility documents and/or communications related to employee benefits (i.e. employee buyback records for retirement credit) and assist with Employment Verification requests as needed, consistent with College policy.
  • Other related Payroll/Human Resources duties, as assigned.

Job Requirements:


MINIMUM QUALIFICATIONS
:

  • Associate degree with experience in payroll and/or benefits administration.
  • Strong computer skills, including competency with Microsoft Office Suite with proficiency in use of Excel and Access.
  • Excellent customer service and oral and written communication skills.
  • Enthusiasm for working in a busy, complex environment requiring exceptional attention to detail, and excellent organizational/time management skills.
  • Ability to establish and maintain harmonious professional relationships and work independently and collaboratively as part of a team.
  • Experience working in confidential environment, maintaining the integrity and confidentiality of sensitive employee/employment information.

ADDITIONAL PREFERRED QUALIFICATIONS:

  • Experience with PeopleSoft - HR/CMS and related applications.
  • Human Resources generalist experience in a collective bargaining environment.

Additional Information:


COMPENSATION
: Annual salary range of $60,000 - $63,000, dependent upon qualifications. Includes participation in a comprehensive employee benefits program including option to participate in Massachusetts State Employees' Retirement System. Full-time, Non-unit Professional Position.
