HR/Payroll Generalist - Compliance and Payroll

Job Description


The USC School of Pharmacy is seeking a Human Resources/Payroll Generalist, Compliance and Payroll to join its team.

Reporting to the Human Resources Manager the HR/Payroll Generalist will provide expertise and guidance on Human Resources and Payroll-related issues.   The HR/Payroll Generalist will support the school’s Compliance and Leave of Absence Programs and serve as the HR/Payroll Analyst to assigned groups of faculty, staff, resource, and student employees.

Compliance (USC Community Pharmacies and Clinical staff and faculty):

Working closely with the HR Manager and the Executive Director of Community Pharmacies, the HR/Payroll Generalist’s responsibilities would include the following:

  • Track and ensure timely licensure and/or certification documentation In Workday.
  • Maintain compliance with licensed individuals and their standing with licensing authorities.
  • Maintain compliance with licensed facilities.
  • Maintain compliance with accreditations, not clinically but timeliness of submissions and engaging accrediting authorities (URAC, Medicare soon, ACHC).
  • Serve as Quality Assurance manager for the school – ensuring timely documentation and reporting up to UCS (University Clinical Services).
  • Liaison with UCS risk, quality and compliance staff and committees.
  • Maintain compliance with training requirements for HIPAA, FWA, PCI and other considerations. Assist Pharmacies in establishing necessary training programs and monitoring completions and documenting requirements.
  • Monitor pharmacy publications for changes in regulatory requirements and provide education to Directors and assist with changes necessary at the various pharmacies.

Leave of Absence (SoP faculty and staff):

The HR/Payroll Generalist will manage the School’s Leave of Absence Program. Responsibilities will include:

  • Provide general information and assistance to employees regarding leaves of absence and disability.
  • Work with University Disability and Worker’s Compensation Offices to coordinates leave of absence with disability/worker’s compensation benefits for faculty and staff.
  • Track and manage all Leave of Absences, (Pregnancy, FMLA, CFRA, Medical, Personal, etc.) in Workday
  • Work With University Office of Institutional Accessibility and ADA Compliance to coordinate return to work and accommodations requests.

HR/Payroll Analyst – Postdoctoral Scholar, (Research Associates and Fellowship Trainees) and Residency Programs:

The HR/Payroll Generalist will support the Postdoctoral Scholar (Research Associates and Fellowship Trainee) and Residency Programs. Responsibilities will include:

  • Timely and accurate payroll processing for assigned groups of staff, resources employees, NRA and student workers.  Tasks include assisting faculty, staff and students on entering/approving time in Workday, process check requests, reconcile pay results, and picking up checks from payroll office as needed.  
  • Maintain and process employment transactions in Workday, such as offer letters, new hire on-boarding, terminations, promotions, and transfers.  Meets with new hires to complete employment and payroll paperwork.
  • Provide checklists and handouts to assist department members with HR related tasks, (department on-boarding and off-boarding).
  • Reviews monthly payment projection reports to ensure accurate compensation.
  • Process Payroll Accounting Adjustments as needed.
  • Prepares reports summarizing employment/payroll-related data.
  • Complies with payroll and personnel policies and procedures and in accordance with governmental and agency requirements.
  • Serve as backup for SoP Bi-Weekly and Monthly payroll as needed.
  • Assists with special projects as assigned.

Preferred Qualifications and Experience

  • Payroll experience preferably in a university setting. Knowledge of USC HRIS systems; Workday, the Student Information System (SIS), and College Work-Study (CWSP). 
  • Knowledge of Glacier is a plus
  • Preferred Education: Bachelor’s degree
  • 3+ years of personnel and payroll management experience
  • Exceptional interpersonal and communication skills
  • Demonstrated ability to build productive working relationships with a variety of diverse stakeholders.

Minimum Education: Bachelor's degree, Combined experience/education as substitute for minimum education Minimum Experience: 3 years Minimum Field of Expertise: Directly related human resources generalist experience. Working knowledge of principles and practices of human resources administration. Knowledge of human resources workforce planning, recruitment, hiring, performance management, compensation administration, benefits, training and development, disciplinary actions, employee relations, affirmative action, disability, workers compensation, organizational development and information systems. Knowledge of relevant federal, state and local laws and regulations. Demonstrated effective oral and written communications and excellent interpersonal skills.
