Overview

The Administrative Director of the Harvard Medical School Center for Palliative Care (CPC) is responsible for providing all levels of planning and coordination on behalf of the Center and course directors and draws upon exceptional interpersonal and professional skills to create a positive experience for faculty and learners who participate in our educational programs and initiatives. The Administrative Director has full responsibility for all Center educational programs and activities including but not limited to the management of the HMS Center for Palliative Care (CPC) educational programming and initiatives, rounds, research and clinical seminars, and ad hoc sessions. The role also oversees the administration of the CPC steering committee and sub-committees and financial health and assists leadership with strategic planning for growth and innovation.

Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Manages the HMS Center for Palliative Care (CPC), running ~5 CME courses (2 days – 2 weeks in duration) each year, with potential for further growth
  • Manages multiple recurring activities including various rounds, research and clinical seminars, HMS education initiatives, and ad hoc sessions
  • Assists program leadership with strategic planning for growth and innovation including development of new initiatives, transition to membership strategy, and product development
  • Supervises education program managers and/or coordinators
  • Responsible for fiscal health of the CPC
  • Oversees administration of CPC Steering Committee as well as sub-committees
  • Plans, implements, and coordinates continuing CPC medical education courses, including liaison with course instructors, marketing, registration, hotel arrangements, curriculum materials, and program evaluations. Identifies course venues, recommends multi-year commitments, and acts a liaison between DFCI administration and contractors in negotiation of agreements
  • Oversees budgets for CPC courses, reporting to leadership as needed
  • Administrative responsibility for Center educational conferences, seminars, and rounds. Ensures publicity, works with program faculty and responsible for course evaluations
  • Administrative responsibility for HMS CPC educational activities
  • Works with leaders to formulate and implement educational strategies, course improvements, and new initiatives
  • Works with HMS CME administration as needed for compliance and operational needs
  • Communicates and acts as liaison with HMS administrators, HMS faculty, fellows, staff, administration, and external faculty, learners and contractors
  • Design and maintain communication materials such as website, marketing/promotional videos, marketing and curriculum documents, and social media
  • Delegates duties as appropriate and assumes other duties as needed

SUPERVISORY RESPONSIBILITIES:

Education Program Manager I and/or Education Program Coordinator

Qualifications

MINIMUM JOB QUALIFICATIONS:

  • Bachelor’s degree required; master’s degree preferred. Background in education highly desirable.
  • Administrative and supervisory experience as well as excellent verbal and written communication skills required.
  • Experience with program management, post graduate and/or web-based education preferred.
  • Highly collaborative and strategic thinker

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Excellent written and oral communication skills
  • Knowledge of computer applications including Microsoft Suite, Microsoft Outlook; experience with Canvas, and the Adobe Design Suite desirable
  • Exceptional customer service skills and the ability to interact professionally with peers, leadership and external contacts
  • Excellent ability to organize, prioritize and follow-through
  • Marketing and social media experience desirable
  • Ability to work in a fast-paced complex and matrixed organizational structure
