Job Description

ADMINISTRATIVE ASSISTANT 2, Norman B. Leventhal Center for Advanced Urbanism (CAU), to provide varied and complex administrative support.  Will schedule complex appointments, meetings, and travel; prepare complex itineraries and process travel reports; handle purchasing, expense tracking, and monthly reconciliations; coordinate and arrange meetings, workshops, and conferences, including logistics such as securing space and initiating and coordinating online conferencing; assist with the coordination of major events and hosting external visitors, e.g., booking rooms, ordering refreshments, room setup/breakdown, coordinating vendors, and travel; develop and apply broad understanding of work-area policies and procedures in order to serve as liaison between students, staff ,and faculty on group activities, travel, purchasing, etc.; compose and edit correspondence and other documents, making editorial changes in materials and independently checking for accuracy of content; independently reply to correspondence when appropriate; gather materials and proofs content for center newsletters and social media; maintain contact databases and inventory; act as the primary point of contact for general inquires/requests; and perform other duties as requested.  

Job Requirements:

REQUIRED:  high school diploma or its equivalent; at least three years’ administrative, office, or related experience; excellent interpersonal, organizational, analytical, problem-solving, writing, editing, and proofreading skills; attention to detail; proficiency with MS Office (Word, Excel) and ability/willingness to quickly master new software programs as necessary. Seek a flexible team player who can demonstrate sound judgment; interact effectively with a diverse group of researchers, students, sponsors, and administrators; and multitask in a fast-paced work environment with changing priorities.  PREFERRED:  bachelor's degree; interest in architecture, urban planning, urban design, or related discipline; and experience at MIT and with its business apps, i.e., SAPgui, Concur, Google Workspace, and Dropbox.  Job #22073-5

This is a full-time (35 hrs/wk.), one-year appointment with the possibility of renewal dependent upon funding and progress.
