This position will work a hybrid schedule which includes a combination of working both onsite at ACTRI in La Jolla and remote.

Radiation Oncology currently is a large contributor to the organizational bottom line, being a premier provider of cancer treatment. This Department is distinct from other clinical departments in that all aspects of treatment are technology-based. Technology advancements will continue to create potential business and revenue growth opportunities for both the Department and Medical Center, in both research and the clinical arena. This also presents a significant amount of opportunity in the community, as well.

Under the direction of the Division Business Officer (DBO) and Administrative Officer, provide administrative support and coordination for the research faculty, physicists, faculty staff, DBO and Administrative Officer in the Department of Radiation Oncology. Functions include research, evaluate and track research funding sources, compile and process all needed materials for grant submissions, function as liaison to Moores Cancer Center grant administration regarding procedures and submission requirements for proposals, establish and maintain files on awards, maintain expenses, and compile and draft budget information for grant proposals.

Will provide administrative support to the research and administrative unit, including word processing, spreadsheet development and maintenance, database development and maintenance, and general office management including photocopying, faxing, preparing and distributing mailings, etc. Prepare technical material such as manuscripts, abstracts, and reviews for scientific journals, scientific presentations at lectures and at national meetings. Design graphs, tables and other scientific data using computers for slides, charts, manuscripts and grants. Prepare research protocols and Human Subjects Committee application forms for new protocols and renewal or modification of existing protocols. Provide HR administration support for hiring staff and recruiting students & volunteers. Keeping track of staff/students/volunteers per faculty member. Make domestic and international travel arrangements, order supplies and equipment for the research program. Monitor unit's overall financial activity. Use spreadsheets and databases to interpret and organize resource information and produce reports to faculty and research unit as needed. Organize meetings, conferences, and maintain the calendar for faculty, physicists and chief business officer. Utilizing a thorough knowledge of this group's clinical, laboratory and research activities, independently respond to a variety of requests and disseminate information through excellent interpersonal communications skills, telephone and electronic communications. Utilize the University's Financial systems as appropriate for financial actions such as establishment of purchase orders, travel events, and reimbursement items. Track expenses, record fund sources per faculty member and maintaining updated reports. Function independently exercising professional judgment, and maintain confidential information. Other duties assigned as needed.

  • Strong demonstrated executive-level administrative skills.

  • Extensive computer experience to include expertise with various software packages such as Word, Excel, PowerPoint, Email and a reference management program.

  • Demonstrated skill in composing correspondence using excellent knowledge of English grammar, spelling, punctuation and sentence structure.

  • Thorough knowledge of and demonstrated experience preparing grant proposals and related materials in a timely manner (hard copy and electronic submission).

  • Demonstrated ability in preparing a wide range of University forms, e.g. PI exception, Postdoctoral enrollment forms, international scholar, travel vouchers, purchase orders, etc.

  • Demonstrated ability to evaluate situations, and independently make recommendations and decisions.

  • Proven ability to independently and accurately perform duties, maintaining strict confidentiality.

  • Demonstrated experience managing a complex calendar. Proven experience in coordinating meetings, conferences and workshops.

  • Excellent skills to prioritize and organize the workflow, working with constantly changing priorities and multiple deadlines.

  • Strong interpersonal skills to work effectively with faculty, staff, students & volunteers within the department, Health Sciences, external and foreign agencies, and professional associations. Represent the Department with tact and professionalism in all internal and external matters.

  • Familiarity with the field of Radiation Oncology and professional societies related to Radiation Oncology and Medical Physics e.g. SPIE, AAPM, ASTRO, and SANTRO.

  • Thorough knowledge of UC policies and procedures to include purchasing regulations and procedures.

  • Experience with continuing medical education (CME) accreditation.

  • Employment is subject to a criminal background check.
