UCSD Health Sciences is a $1 billion dollar plus organization encompassing 16 academic departments (14 clinical, 2 basic sciences), 2 pre-academic/hospital departments, 2 professional schools (School of Medicine and Skaggs School of Pharmacy and Pharmaceutical Sciences), 2 hospitals, and various other programs and units all dedicated towards fulfilling the Health Sciences missions. The UCSD Department of Cellular and Molecular Medicine (CMM) is one of two basic science units in the School of Medicine where world-class researchers study fundamental cellular processes and pathways using a variety of techniques from classical genetics and fluorescence microscopy to high-throughput genomics, systems biology, and crystallography. Our 36 faculty and over 200 postdoctoral scholars, graduate students, and research staff work on the cutting edge of biology, cutting across fields from basic biochemistry and genetics to genomics, systems biology and stem cell biology. The faculty also play a major role in medical and graduate student training, providing educational and programmatic offerings that span several disciplines and provide diversity to meet the interests of a broad spectrum of students and scholars. Incumbent provides full administrative and organizational support to a Professor of Cellular and Molecular Medicine and his large research team. Responsible for managing, coordinating, and organizing the daily functions of the administrative office and laboratory. Act on Professor's behalf and respond to requests for assistance, complaints, and advice. Serve as liaison to collaborators, faculty, staff, students, campus officials, external and foreign granting agencies, and officials. Responsible for the administration of confidential material; production and coordination of manuscripts, correspondence, grants, contracts, and gifts; coordination and analysis of material transfer and service agreements; plan and organize an extensive travel schedule. This position is afforded great latitude for decision-making and independent judgment. Follow University policy and procedures in all aspects of job duties. Skills to prioritize and pace multiple and complex responsibilities on several projects simultaneously, while meeting changing deadlines. Performs other duties as assigned.   • Proven ability to independently follow and interpret oral and/or written instructions, perform duties with accuracy and consistency, changing priorities to meet multiple deadlines. Excellent skills to prioritize and organize the workflow, delegating clerical assignments as necessary.

  • Demonstrated ability in maintaining and trouble shooting computers and network for laboratory and office.

  • Extensive computer experience to include expertise with various software packages to include Word, Excel and Power Point.
    Ability to use reference management and website editor software.

  • Ability to analyze, research, gather and organize information to produce reports and/or provide concise verbal presentations.

  • Demonstrated experience to coordinate meetings, conferences and workshops.

  • Demonstrated strong and excellent interpersonal communications skills to work effectively with faculty, staff and students within the department, Medical School, external and foreign agencies, and professional associations.

  • Demonstrated experience managing a complex calendar and extensive experience with travel arrangements and reimbursement.

  • Proven ability to edit manuscripts, scientific documents, and correspondence. Excellent knowledge of English grammar, spelling, punctuation, and sentence structure. Superior word processing skills.

  • Skill in exercising effective control of situations or events in the absence of higher authority and ability to make recommendations or decisions that affect office and/or laboratory operations.

  • Ability to work with detail and process a large volume of documents and information accurately.

  • Demonstrated ability to independently compose correspondence.

  • Proven ability to maintain confidentiality.

  • Skill in analyzing and organizing information and preparing for presentation.

  • Working knowledge of legal terminology relating to patents, licensing agreements, and consultancies.

  • Demonstrated experience in preparing grant proposals and coordinating material transfer agreements.

  • Knowledge of animal protocol and EH&S regulations related to research laboratories.

  • Demonstrated mature and effective interpersonal communications skills including tact, diplomacy and flexibility with appropriate demeanor to maintain good working relationships. Ability to communicate effectively with diverse faculty, technicians, postdocs and students on the phone and in person including those from different cultures and backgrounds.

  • Basic accounting skills.

  • Skill in maintaining and updating all computer files to allow easy retrieval of and access to information.

  • Working knowledge of scientific terminology and symbols.

  • Knowledge of UC policies and procedures to include purchasing regulations and procedures.

  • Bachelor's degree with a background in science.

  • Job offer is contingent upon satisfactory clearance based on Background Check results.
  • Willing to work evenings and weekends if necessary to meet deadlines.
