The award provides eight years of support and is designed to support early career scientists underrepresented in the professorate through their postdoctoral training and early faculty years.  


Summary:  


We are looking for someone to join our collaborative Payroll team to support us with our biweekly payroll. The person in this role will be responsible for timely and accurate processing of payroll on bi-weekly basis using Workday. They will ensure the integrity of our data and payroll process by reviewing procedures and trends, analyzing problems, recommending solutions, and assisting in the implementation of new processes. We serve a diverse population of workers across the US. So, the Payroll Specialist should have experience working with multi-state payroll processes and have expertise in domestic and foreign national taxation to ensure that taxes are appropriately withheld, and the foreign employee’s tax status is properly determined. 


The ideal candidate will be excited about working collaboratively across the payroll team and other departments at HHMI. They will have worked with, or possess a strong desire to learn how to use, the various platforms we use for payroll (these include Workday, Glacier, and Jira). They will also be equipped to effectively problem solve, provide high quality customer service, and know how to conduct a payroll cycle and processes.  


In this role you will… 


  • Process bi-weekly payroll according to current policies and procedures ensuring accurate pay and taxation of all HHMI employees.  

  • Ensure that all payroll information and records are maintained in accordance with statutory requirements and that there is integrity within the data.  

  • Process accurate and timely reporting on a monthly, quarterly, and year-end reporting for workers compensation, unemployment, and when vital for W2, W-2c, and 1042. 

  • Reconcile payroll prior to ADP transmission and validate confirmed reports. 

  • Maintain and review foreign national tax records in GLACIER to ensure accurate tax withholding. 

  • Respond to employee inquiries and maintain confidentiality regarding payroll issues, questions, or concerns through the Jira ticketing system. 

  • Validate and prepare off-cycle checks as requested according to published guidelines. 

  • Partner with People & Culture and educate employees on new payroll changes. 

  • Supervise changes in the law which impact payroll practices, policies, and procedures.  

  • Review and update payroll documentation for functional, tax updates, and system upgrades. 

  • Work with the other payroll team members on other projects as needed. 



Education and Experience: 


  • Associate Degree in accounting, business or equivalent. Bachelor’s degree preferred 

  • Knowledge of payroll procedures, general accounting, and federal, state, and foreign national taxation. 

  • Minimum four years payroll and tax related work experience 

  • Knowledge of multi-state tax requirements and IRS regulations related to payroll. 

  • Minimum four years using an automated payroll system; Workday preferred. 

  • Knowledge of Foreign National Taxation preferred 

  • Knowledge of Glacier system preferred

  • Excellent organizational skills, with a proven ability to multi-task, prioritize and manage multiple projects simultaneously, meet and anticipate multiple timelines and handle situations from start to finish. 

  • Excellent ability to effectively express ideas verbally and in writing. 

  • Ability to build relationships and effectively interact with employee and external contacts regarding HHMI policies and other payroll-related issues. 

  • High attention to details. 

  • Demonstrated ability to work independently as well as on a team.

  • Demonstrated ability to create, deliver and maintain a high level of customer service and responsiveness.


Physical Requirements:

Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).
